The Opportunity:  

Providing a best-in-class patient care experience is the foundation of Apollo Cannabis Clinics. As a Veteran Care Coordinator, your role involves answering inbound calls, completing administrative tasks, data entry, letter writing, and providing our patients with excellent care. A key component of the role is ensuring that patient registration moves forward smoothly and efficiently by ensuring accurate completion of all necessary documentation, while making the patient experience a pleasant and productive one for Canada's honored veterans.   

Responsibilities:

  • Liaise with Allied Healthcare partner (Out of province) 

  • Ensure clinic days are organized: i.e. cross check patient files, complete medical history, index all forms into EMR, ensure HCPs are notified of any important details, and be available for questions/issues etc.  

  • Coordinate coverage for patient – i.e. submit registration and supporting documents to Licensed Producer(s), follow up to ensure interim coverage eligibility, submit required documents to Medavie Blue Cross, arrange for vaporizer coverage where required 

  • Address all patient concerns and questions in a timely fashion 

  • Address all Allied Healthcare Partner’s concerns and questions in a timely manner 

  • Address all calls from Medavie Blue Cross for confirmation of patient information 

  • Facilitate all patient requests for Licensed Producer changes and/or splits and follow up with Medavie Blue Cross for same in order to avoid any coverage issues 

  • Submit invoices to Medavie Blue Cross for goods and services, and follow up on missing/late payments 

  • Facilitate Vapes for Vets Program – arrange approval, and ship items to patients 

  • Arrange and monitor IME clinic days with specialist 

  • Work with specialist to draft professional Medical Report in support of patient’s special authorization for cannabis coverage through Medavie Blue Cross 

  • Follow up after patient appointments. i.e. ensure prescription dosages are sufficient, documents are correctly distributed, follow up appointments are scheduled 

  • Provide enhanced education and support to patients as required 

  • Ensure and track that patients are successfully ordering their medication monthly 

  • Track relevant expiration dates and ensure proper steps are taken to avoid expirations 

  • Work with clinic resources (teams) to expedite where required and provide best in class patient care 

  • Track patient numbers, revenue and other relevant metrics as required: i.e total grams prescribed, expiration dates, vaporizer coverage, etc. 

  • Manage patient, partner and employee expectations professionally 

  • Other tasks as assigned 

 

Required Skills:

  • Exceptional attention to detail and strong organizational skills 

  • Strong working knowledge of Licensed Producers, available medication 

  • Comfortable educating patients on medical cannabis strains, modalities, titration, etc 

  • Ability to troubleshoot in a fast paced environment 

  • Able to identify and balance priority tasks, excellent time management 

  • Professional communication skills both verbal and written 

  • Adaptable to ever changing priorities 

  • Knowledge of pharmacology and medical terminology is an asset 

  • Knowledge of EMR, Microsoft 365, Google Suite, Quickbooks, etc 

  • Flexible, compassionate, empathetic and patient centric approach 

  • Ability to self motivate and prioritize workload 

  • Proactive approach to tasks and initiatives 

  • Comfortable working as part of a team and able to work independently  

  • Proven history of managing several projects simultaneously and meeting deadlines
