Job Description Summary:
Primary responsibilities consist of coordinating and managing the overall operation of the LIFT HMR Weight Management Program by supporting the entire staff in functioning as a multi-disciplinary team. The general scope of responsibilities include the enrollment process, financial, inventory management, data collection and analysis, general operations, marketing, and multi-disciplinary communication. Employee is subject to call back and overtime as required by the hospital.
ESSENTIAL JOB FUNCTIONS:
- Manage phone and walk-in inquiries/ referrals
- Maintain Inquiry Tracking Forms (ITF)
- Maintain databases
- Manage all pre- and post- orientation procedures
- Present new patient orientations
- Review Program Policies with all incoming patients in first class
- Track and collect patient fees
- Enter and reconcile daily financial transactions
- Make daily bank deposits (if applicable)
- Enforce fee and meal replacement purchase compliance
- Generate daily, weekly, and monthly financial reports
- Manage petty cash
- Reconcile monthly bank statement
- Review and process accounts payable invoices
- Monitor expenses
- Monitor billing/collections/ accounts receivable
- Count and reconcile HMR meals (consistency in description of MRs) inventory (weekly)
- Order HMR meals (weekly)
- Maintain supplies, materials, and equipment
- Compile and summarize marketing and operations data (monthly)
- Complete and review annual Program Audit
- Review data monthly in staff meeting
- Liaison for Program
- Organize and maintain staff and class schedules
- Provide a schedule that includes:
- Orientations
- Patient groups
- Quick Start Calls
- Prepare and facilitate staff and patient care meetings
- Attend monthly call with HMR Account Manager
- Attend HMR trainings
- Participate in cross-training (receiving and delivering)
- Customize and implement the HMR Quarterly Marketing Plan
- Coordinate program marketing efforts
- Communicate and implement marketing on and ongoing basis
- Work with facility/WTH marketing department to promote the program
- Communicate with Health Educator to manage Patient Changes of Status
- Communicate with leadership about program performance on an ongoing basis
- Work with facility billing department to set up insurance billing best practices, prepare insurance forms, and assist patients with insurance information (if applicable)
- Contribute to the guest Excellence philosophy and positive work climate and overall team effort of the office.
- Performs any related responsibilities as required or directed.
JOB SPECIFICATIONS:
EDUCATION:
- Associate’s degree required
- Bachelor’s degree preferred
LICENSURE, REGISTRATION, CERTIFICATION:
- BLS certification must be obtained within orientation period, and certification must be kept current while in this position.
EXPERIENCE:
- Data entry skills
- Experience in customer service and verbal/ non-verbal communication experience in the healthcare setting preferred
KNOWLEDGE, SKILLS AND ABILITIES:
- Proficient with computers, specifically in word, excel, PowerPoint.
