Summary of Job Duties:

The Center for the Study of Tobacco is seeking a full-time person who has responsibility for supporting the center operational functions, communications, community education and outreach, and management of databases for grants funded by center faculty. This person is a critical member of the Center’s team and requires strong communications, organization, and problem-solving skills.


Qualifications:

  • Bachelor's degree plus two (2) years of administrative or program coordination experience or

  • Associates degree plus four (4) years of administrative or program coordination experience or

  • High School diploma/GED plus six (6) years of administrative or program coordination experience required.

Knowledge, Skills & Abilities:

  • Experience in Microsoft Word, PowerPoint, Excel.

  • Attention to detail and ability to follow instructions.

  • Excellent written and oral communication skills and ability to communicate with a wide variety of stakeholders.

  • Ability to work in a team and independently.

  • Be highly motivated; creative; critical thinking; resourceful; responsible; collaborative; and problem-solving skills.   

  • Ability to learn new technology.

  • Experience in working on teams and independently.

  • Self-starter and highly motivated.

  • Ability to work with diverse populations.


Additional Information:

Responsibilities:

  • Support the Director of the Center and faculty members and oversee the day-to-day operations as it relates to travel; and purchasing of supplies.

  • Assist with budget management; and assuring compliance with UAMS policies and procedures as relevant to this position. 

  • Assure timely and high-quality implementation of processes, standard operating procedures, and compliance with UAMS policies.  

  • Work efficiently and effectively in Workday and other UAMS systems.

  • Plan, coordinate and oversee logistics for regular research team meetings.

  • Work collaboratively within a team; collaborate with other faculty, staff, and partners to ensure timely scheduling, coordination, and management of meetings, activities, and center products.

  • Serve as a backup to other department administrators and work collaboratively to ensure departmental tasks are completed with accuracy, efficiently, and in a timely manner.

  • Serve as the primary day-to-day contact for the Center for the Study of Tobacco and facilitate communications across UAMS and with community constituents. 

  • Maintain a friendly and approachable demeanor, and confidentiality, respond in a timely manner to all correspondence, and maintain open communications to assure the flow of appropriate information to relevant constituents. 

  • Update and maintain websites.

  • Maintain appropriate paper and electronic records of documents, file information in an organized way in UAMS box and other databases, enter data into various computer-based programs (e.g. Excel, RedCap), help to manage survey data, and work with investigators to prepare data for analysis. 

  • Help assure timely implementation of Center strategic plans and plans.

  • Work with investigator teams to identify and use relevant and trustworthy scientific information to develop the content of communications for research projects (e.g. COVID-19, tobacco), including educational materials for community clients and coalition presentations.

  • Research data in PubMed and from other relevant data sources to inform educational activities. 

  • Help to maintain collegial community relationships and partnerships.

  • Assist with correspondence with various communities. 

  • Participate in training and educational programs.

  • Perform other duties as assigned.
