Role Overview:

We are seeking an organised EA & Workplace professional to join our team in New York. At our core, we are committed to fostering diversity and inclusion within our team. We invite individuals from underrepresented groups to apply and bring their unique perspectives to our organization.

Your contribution will play a crucial role in managing the diary, travel and logistics of our CTO and the global Tech Team and creating an incredible workplace experience for our US team. Working in a collaborative EA & Workplace Team, you will be responsible for organising off-site meetings, preparing documents, and engaging with business leaders and clients. This role requires a responsible, proactive and enthusiastic professional who thrives in a fast-paced environment, loves supporting others both in person and virtually, and is passionate about growing and developing as an EA.

Key Responsibilities:

  • Diary & Travel Management: Effectively manage the diary and travel of our Chief Technology Officer and his team, coordinating appointments, meetings, venues and events to optimize their time and productivity.

  • Communications & Document Preparation: Develop and distribute comprehensive meeting materials in advance, support in building decks, drafting communications and collating pertinent materials and ensuring all necessary information is thoughtfully made available to participants. Confident in assigning actions, monitoring deadlines and making things happen.

  • Relationship Management: Engage adeptly with leaders, clients, and stakeholders, embodying the utmost professionalism and fostering strong, enduring relationships that reflect positively on the company. You strive to deliver a superb back-of-house service to your stakeholders, by streamlining processes, collaborating with other support execs and utilizing your people and tech skills.

  • Office Management & Culture: Responsible for the daily operations, compliance and culture of our New York Office (c.30 employees). You are in-office 4-5 days per week, keeping our facilities superbly organised and sufficiently stocked with refreshments, catering, stationery and other office provisions. You plan ahead, budgeting and sourcing vendors, arranging events and initiatives that enhance the experience and are a key driver of culture.

About you:

  • Experience: Demonstrate a minimum of 4 years of proven experience as an Executive Assistant (ideally in the Tech industry), adept at supporting others in your business, improving productivity and keen to grow your skills.

  • Organizational Skills: Showcase exceptional organization and time management skills, with a demonstrated ability to effectively prioritize tasks, handle diverse demands, and consistently meet deadlines under pressure.

  • Technical Proficiency: Exhibit proficiency in various tech platforms such as Google Workspace, Coda, Zoom, Slack, and other relevant software, underscoring a strong command of in-office AV technology.

  • Communication Skills: A warm, outgoing and approachable personality. Display excellent verbal and written communication skills, enabling confident and professional interactions with individuals across all levels, including C-Suite Executives and external stakeholders.

  • Initiative and Pro-activity: Demonstrate a strong sense of initiative, be able to work independently, and assume ownership of tasks and your environment. Ability to anticipate needs and proactively address challenges with a positive solutions-oriented approach.

  • Trust and Confidentiality: Uphold a strong sense of discretion, trust and responsibility, handling sensitive and confidential information with integrity and running the office to the highest of standards, with diligent attention to detail.

  • People & Culture Focused: Passionate about the workplace experience of your colleagues, with an interest in events, hybrid and optimizing processes and workplace environments for engagement and productivity.

  • Location: Ability to work in-office 4-5 days per week

The base salary range for this roles: $95,500 - $112,250
