A Brief Overview:

Performs all front desk duties including cordially greeting and receiving patients and visitors, registering patients ascertains their needs and appropriately directs patients, visitors, and callers. Answers phones, takes phone messages and responds to general patient and visitor requests. Provides outstanding customer service and satisfaction ensuring all patients and visitors feel welcome. Assures patients receive easy and convenient access to the services they need in a friendly, efficient manner.

Welcomes patients and visitors promptly and ascertains and meets their needs efficiently.

a. Personally meets patient and visitor needs

b. Seek assistance if patient or visitor needs are outside scope of personal skill

    level or authority.

c. Strives for consistent and excellent customer service.

Utilizes appropriate telephone etiquette and procedures when placing, receiving, and transferring calls. Ascertains and meets caller’s needs in accordance with department standards.

a. Provides requested information or actions promptly and pleasantly.

b. Obtains additional information from caller, if necessary, to provide optimal

     service.

c.  Transfers phone calls to appropriate individual for future service.

d.  Takes telephone messages accurately and thoroughly, delivering message in a timely manner.

Completes patient registration on all patients.

a.  Obtains patient information for registration and enters into Meditech.

Responsible for maintaining patient records.

a. Creates new charts for patients per department standards.

b. Assures all required patient forms are completed.

c. Copies medical records for release and appropriately documents.

d. Enters exam orders in Meditech.

Performs general support functions for practice, support staff, and clinical staff.

a. Directs all incoming and outgoing mail.

b. Receives deliveries of office supplies and equipment.

c. Maintains a clean, neat, and professional work environment.

d. Prepare and monitor stock of cardiac monitors (30-Day Event and ZIO Patch).

ADDITIONAL DUTIES AS ASSIGNED

Assists with Daily Billing Reconciliation

a. Prints and checks all billing for the previous day.

b. Reconciles billing to ensure accuracy and makes changes as needed.

c. Scans and emails reconciliation forms to the SCMG Billing Department.

PATIENT CARE/AGE SPECIFIC RESPONSIBILITIES AND QUALIFICATIONS

Greets and communicates with patients of all ages, from pediatric to geriatric.  Responsible for meeting the needs of patients and guests of all ages.

What you will need:

•High School graduate or equivalent.

•Medical terminology preferred.

•Good use of written and spoken English language and telephone etiquette.

•Simple math skills.

•Able to learn quickly.

•Previous skill in use of computer, fax, copies, office machines.

•Good team player.

•Able to handle multiple tasks at once in the midst of a busy office atmosphere.

•2+ years of experience as an Administrative Secretary, or similar, preferred

ENVIRONMENT

• Primarily a sedentary job (80%), with some standing (10%) and walking (10%).

•May need to lift containers with office supplies.

•Needs to be able to work with equipment and files at different heights.

•Exposure to noise of telephone/business machines; work area well lighted, at room temperature.

•Some exposure to airborne disease from contact with public and patients.
