We currently have an excellent opportunity for a

Workplace Assistant (m/f/d)

to join our Integrated Facilities Management team in Munich.

This role is a dynamic and flexible role within the Workplace Services (WPS) team in Munich, providing high-level customer service across multiple administrative and operational functions. This role requires a proactive and service-oriented individual who can seamlessly transition between front-of-house reception duties, service desk support, meeting coordination, and administrative tasks. The successful candidate will be cross-trained in different roles to ensure business continuity and smooth operations.

Your tasks:

  • Cover front desk and reception services, ensuring a professional and welcoming environment.
  • Greet and assist visitors, clients, and employees.
  • Handle internal and external bookings, ensuring full meeting room accountability.
  • Support vendor management for catering services, ensuring high-quality delivery.
  • Assist with event and meeting preparation, including signage, checklists, and documentation.
  • Manage room setups, including flexible furniture arrangements.
  • Administrative tasks and back office admin support.
  • Supporting EMEA-wide projects, collaborating with various offices across the region, and performing a variety of administrative tasks in an international and cross-functional team environment.

Your profile:

  • 2-3 years of experience in an administrative, customer service, or front-of-house role.
  • Background in the hotel industry, service center, or ticketing support is a plus.
  • Fluent in German and English (written and spoken).
  • Strong organizational and time-management skills.
  • Excellent interpersonal skills with a customer-first mindset.
  • Professional appearance and demeanor with high attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Build strong relationships with internal stakeholders and external guests, ensuring personalized service.
  • Act as a trusted advisor for meeting hosts by providing catering recommendations and logistical support.
  • Develop expertise in workplace service tools, processes, and best practices.
