The purpose of the RESERVATIONS/GROUP ROOMS COORDINATOR is to ensure the accuracy of all reservations and group room blocks as well as ensuring that all group reservations are set up according to contract/resume requirements.

 ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Respond to telephone, email, fax inquiries for reservation requests by explaining service and amenities to sell guest rooms. Process all reservations, changes and cancellations and provide confirmations.
  • Effectively gather all necessary information from guests and confirm reservations.
  • Perform group bookings including building blocks, managing group inventory, auditing group blocks before/during and after departure.
  • Work with client’s housing team to produce group pick-up reports, ensure proper charge routing of reservations, VIP’s, special requests and perform group audits.
  • Works with the Director of Sales and General Manager to ensure hotel is maximizing rates. Implement daily changes to room rates and restrictions as designated by the GM.
  • Update the Sell Strategy report daily and distribute
  • Act as a resource for both the hotel and the client for information.
  • Participate in weekly meetings with sales, front office, and revenue management departments.
  • Create various reports supporting both sales & revenue management teams.
  • Monitor cut-off dates, group pick-up, and provide weekly information to revenue & sales team.
  • Liaison with Front Office to ensure that all systems are in sync, guest & group information & changes are relayed timely to ensure successful outcomes of guest experience, billing and revenue management.  Provide back-up to front desk as needed.
  • Complete necessary revenue management training to meet or exceed brand requirements.
  • Maintain accurate files and systems.
  • Maintain and communicate knowledge of all room rates, packages and promotions.
  • Answer questions about property facilities/services and room accommodations.
  • Have knowledge of all hotel facilities/services, hour of operations, all guest room layouts, bed types, décor, room types and restricted dates.
  • Troubleshoot, resolve and document guest issues and concerns or escalate/ refer to appropriate individual.
  • Maintain, monitor and balance room availability for any given day.

  • Perform other duties as assigned by the Director of Sales/General Manager.

EDUCATION AND EXPERIENCE REQUIREMENTS: 

Bachelor's degree (B. A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

QUALIFICATIONS

• Must have flexibility to work nights and weekends. 

• Must be able to read and write fluent English. 

• Ability to read and comprehend simple instructions, short correspondence, and memos.  

• Ability to write simple correspondence.  

• Ability to interpret and perform basic computer and POS system functions. Knowledge of Outlook, Word, Excel and Hotel Automation systems.
