What this job involves:

As a Facilities Coordinator at JLL, you will provide essential support to the Facilities Manager across operational activities including accounting, finance, maintenance, space management, vendor oversight, and purchasing while delivering superior customer service that meets client expectations. This versatile role combines administrative excellence with hands-on facility operations, requiring you to assist with financial processes, coordinate vendor management, conduct safety audits, and provide hospitality support to the business team. You will play a crucial role in JLL's commitment to operational excellence by implementing industry best practices, maintaining building standards, and supporting risk management programs that ensure safe, efficient workplace environments for our clients.

What your day-to-day will look like:

  • Provide superior customer service to meet client expectations while offering hospitality support to business teams and administrative support to facilities operations
  • Assist in managing all contractors on site ensuring they perform to required standards, including inspection of vendors' works and procurement of services as needed
  • Support financial processes ensuring timely and accurate completion of all financial management requirements including budget management, purchase orders, quotes, and invoices
  • Conduct regular safety audits to ensure procedures are in place and working while assisting in carrying out safety procedures when needed
  • Implement industry best practice operations while conducting site inspections to ensure building procedures and performance measures are maintained at all times
  • Coordinate with pantry assistant to ensure pantry, stationary, and janitorial items are always in stock while maintaining premises in neat and good working condition
  • Assist in implementing property risk management programs, support disaster recovery and business continuity plans, and follow established escalation and incident reporting procedures.

Required Qualifications:

  • Associate degree or equivalent experience in business administration, facilities management, or related field
  • 2-3 years of experience in facilities operations, administrative support, or customer service roles
  • Strong organizational skills with ability to manage multiple tasks and priorities simultaneously
  • Excellent customer service skills with professional communication abilities
  • Proficiency in Microsoft Office Suite and financial management systems
  • Knowledge of basic safety procedures and audit processes
  • Strong attention to detail with ability to maintain accurate records and documentation.

Preferred Qualifications:

  • Experience in facilities management or property operations
  • Knowledge of vendor management and procurement processes
  • Familiarity with budget management and financial reporting procedures
  • Background in hospitality or customer service excellence
  • Experience with risk management and business continuity planning
  • Understanding of building operations and maintenance procedures
  • Knowledge of inventory management and supply chain coordination.
