Job Summary
Manages the day-to-day operations related to all Sales Tax Recovery activity for Consumer Affairs, Dispute Resolution and Legal teams. Responsible for reporting activities related to Sales Tax reimbursements and Vehicle Service Contract cancellations.
This position must be able to research state statutes relating to Lemon Law recoveries and build relationships with state auditors to effectively and efficiently process recovery claims.
Must be reliable and dedicated, effective in team and relationship building, and interested in self-development and professional growth.
Contributes to building brand value and achieving enduring profitable growth.
B. Job Responsibilities
Review all repurchased vehicles for recoverable funds to include Sales Tax, Vehicle Service Contracts, Maintenance Plans, and any applicable refundable monetary amount.
Complete Sales Tax Packets weekly, following state requirements and updating Customer Support Tools accordingly.
Vendor Management including, but not limited to:
*Track, review, and analyze all transactions per VIN
*Coordinate transactions quarterly with vendor
*Ensure vendor is submitting to the states in a timely manner
Research new and/or changed state lemon statutes requirements for recovery. Contact state auditors as applicable to process refund claims.
Follow up on all missing required documents (from dealers, customers, vendors, lien holders or field staff) in order to receive the maximum recovery.
Serve as the primary point of contact for external auditors and tax authorities during audits and inquiries, providing necessary documentation, explanations, and support to facilitate smooth and
successful outcomes.
Receive, audit, and prepare for deposit all checks received from recovery efforts monthly. Reconcile checks received against the deposited checks. Update CST’s accordingly.
Analyze tools for process improvements including updating SOP’s.
Conducts presentations to upper Management on Recovery, Operations and Correspondence activities on a quarterly basis.
Run weekly reports, including Vin Review, Sales Tax Disposition Titles Received, and the ECW Report.
Ensure vendor tracker is completed monthly and reconcile vendor invoices as received. Complete vendor missing document reporting sent quarterly. Maintain records of each state statute to ensure all recovery efforts are current.
1. Job Knowledge and Skills:
Intermediate computer systems knowledge, analytical ability, strong verbal and written communication skills and strong organizational skills to effectively interface with internal and external departments. Independent decision-making and strategic thinking. Must have excellent time management skills and the ability to successfully manage multiple projects simultaneously. Attention to detail and problem-solving skills required.
2. Years of Experience:
Three or more years of experience directly related to project management, customer escalations, finance, and vendor management.
3. Education
Bachelor’s degree required
4. Specific Course/Certifications
Intermediate/Advanced knowledge of Microsoft Professional Suite, with emphasis in Excel and Power Point. Knowledge of SalesForce content management systems preferable.
5. Travel Required?
Occasional overnight travel - ability to travel to vendors, call centers and regional offices
