Key Activities & Accountabilities  

1)    Timetable management and communication inside the division

  • Coordinate meetings and data in electronic timetables (Outlook)
  • Organization of the local divisional meeting and appointments (booking meeting rooms, catering and technical services, guest travel and lodging and logistic details in general)
  • Speaking to providers on the phone, via e-mail or in person to enable commercial and marketing activities
  • Update mailing lists, onenote, divisional highlights
  • Coordinate the relationship among Marketing and Facility or advocate to him/her the shipment and preparation of promotional support materials ( usb, brochures, product catalogue)
  • Became the point of contact among the divisions and organization for specific matters related to BUD activities
  • Processing and management of invoices for all commercial activities and maintenance of the department budget spreadsheets 
  • Coordinate organizational activities such as internal Conf call, Webex, Agents training and meetings, agenda, minute and follow up
  • Support translations among languages as requested

2) Coordinate business trips

  • Coordinate business trip and related BUD activity
  • Booking of  flights, transfers, train and taxi rides, according to valid country specific cost expenditure guidelines             

 3) Data collection

  • Planning and executing internal events, e.g.  monthly Leadership Team Meetings/Calls 
  • Provide assistance in the organization and operation of internal divisional educational activities
  • Supporting the BUD by providing information and analysis, on an ad hoc basis, of commercial activity undertaken by the team
  • Consolidate data from multiple sources (ie weekly forecasts) as requested
  • Prepare advanced excel sheets and manage data collection from different cources

4) Project management

  • Working independently on different projects agreed with the BUD
  • Support the business at internal conferences when requested 
  • Coordinate Onedrive/One note common activity of the team and request from EU
  • Coordinate organizational activities external agreement with third party and providers
  • Prepare, send and archive yearly letter of budget per BU for agents
  • Promote and disseminate Culture Compliance Company (compliance and ethical behavior)
  • Satisfy ad disseminate Quality Culture and respect of procedures of the Company giving particular attention to Dl.lgs 81/2008

Education 

  • Educated to degree level or equivalent
  • Ideally an engineering or technology graduate

Experience 

At least two years in the same role
