The DEI & Talent Management- HR Senior Administrative Assistant will provide support to the leadership team by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative tasks.

Responsibilities:

  • Directly supports the leadership team by providing administrative support for three (3) senior leaders
  • Manages day to day calendar(s), including organizing meetings, coordinating with attendees for any schedule changes.
  • May prepare and review materials and correspondence for meetings
  • Assist with creation/modification of presentations, spreadsheets, and other various documents
  • Arranges conferences, meetings and events as required by the Unit; establishes priorities on behalf of manager or team
  • Assist with onboarding activities for new joiners to the team
  • Coordinates travel arrangements; prepare and distribute schedules/agendas for travel
  • Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
  • Orders supplies and process invoices through Procure to Pay system
  • Assists in ad-hoc reports and special projects as needed and ensures deadlines are met – includes, but not limited to tracking project progress, stakeholder communication, organizing meetings, document management, resource allocation, proposing solutions, budget monitoring, coordination of cross-functional teams, and deadline management
  • Acts as a point of contact between senior leaders, clients, and staff and builds strong professional relationships
  • Appropriately assesses risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.

Qualifications:

  • Previous office administration experience preferably within a large and complex financial services or similar organization
  • Highly proficient in Microsoft Office
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Demonstrated ability to quickly gain command of new systems
  • Organized, responsive, self-motivated and detail oriented
  • Strong time management skills, especially when handling multiple projects or leaders
  • Ability to handle sensitive information and maintain confidentiality and discretion

Education:

  • Bachelor's/University degree or equivalent experience

Primary Location Full Time Salary Range:

$73,380.00 - $95,720.00
