The Executive Assistant plays a critical role in enabling the executives they support to operate at their highest effectiveness by delivering comprehensive administrative and organizational support. This position ensures seamless executive operations, manages sensitive information with discretion, and administratively supports key initiatives. Through proactive problem-solving and exceptional communication, the Executive Assistant empowers executives to focus on leadership priorities and organizational success.
What you will do:
Serve as the primary liaison and administrative resource for Executives, providing direct and responsive support.
Serve as a proactive problem solver to improve efficiency and streamline processes.
Gather, organize, and prepare all necessary materials and information to support meetings and facilitate decision-making.
Lead special projects and help with organizational changes as needed.
Manage complex calendars, meetings, and schedules.
Arrange travel plans for Executives and help with logistics for events.
Monitor and manage executive budget allocations and expenditures.
Encourage teamwork and collaboration between various departments.
Support and collaborate with other administrative staff.
Provide comprehensive support in planning and coordinating major events, ensuring thorough assistance at every stage of the process.
Handle sensitive information carefully and maintain confidentiality.
Streamline processes for greater efficiency.
Set a strong example for professionalism and customer service.
What you will need:
High School Diploma required; Bachelor’s degree is preferred.
At least 3 years of experience in administrative roles, preferably in fast-paced environments.
Experience with project managing and working with teams.
Strong skills in executive communication, analyzing data, and preparing presentations.
Advanced ability with MS Office, GuideStone systems, and collaboration tools.
Excellent written, verbal, and people skills.
Highly organized and able to solve problems efficiently.
Shows initiative and forward thinking.
Professional presence and can interact effectively with all levels of the organization.
Must keep all GuideStone business matters confidential.
