To coordinate administration for the Marketing organisation, as well as lead certain strategically important commercial projects and functional roles.  Responsibilities include: coordination efforts within the department, other internal, local and global departments and with external stakeholders, administrative support to ensure proper preparation and approval of contracts and sales and marketing material.  This is an "Individual Contributor" role and is based in Solna, Sweden.

Key responsibilities for this role include:

  • Support when required the RX Sales and Marketing departments in the approval process for marketing material.
  • Provide administrative support to the marketing organization.
  • Support the sales and marketing teams with administrative support for the Customer Relationship Management (CRM) by creating distributions lists for marketing material.
  • Lead the PO and Billing process of promotional and departmental expenses for the marketing organisation
  • Prepare and manage legal documents with Health Care Professionals/Organisations and vendors via the Legal Contract Management (LCM) system
  • Coordinate the Speaker contract & Billing in a timely manner
  • Coordinate sales meetings and both internal and external conferences
  • Responsibility for the reporting of Transparency transactions of HCP/HCO both internally and to the relevant external authorities.
  • Act as Super User for Veeve Vault and HIPPO, and to train staff when required.
  • To ensure all the above is adhered to compliantly according to company guidelines and policies

The minimum qualifications for this role are:

  • As a minimum: High school diploma/GED/Higher secondary or Associate's degree/college diploma
  • A minimum of 3-5 years as Administrative Lead/Coordination in a changing commercial environment
  • Previous experience working in pharmaceutical industry is preferrable
  • Ability to communicate and collaborate on the level of a Professional proficiency (Fluent) in Swedish and English.
