Maintenance Planning Specialist (MPS) - Position Overview

Core Responsibilities

Strategic Maintenance Planning

  • Develop comprehensive preventative maintenance schedules and strategies to optimize asset performance and minimize unplanned downtime

  • Analyze historical maintenance data and asset performance trends to establish optimal maintenance intervals and procedures

  • Create and maintain detailed job plans, including resource requirements, safety protocols, and step-by-step procedures

  • Coordinate maintenance activities with operations teams to minimize business disruption and ensure efficient resource allocation

  • Evaluate and prioritize maintenance requests based on criticality, safety requirements, and operational impact

Work Order Management

  • Create, manage, and update comprehensive work orders for asset maintenance and repair activities within IBM Maximo

  • Assign work orders to qualified technicians and monitor progress to ensure timely completion according to established schedules

  • Close completed work orders with thorough verification that all maintenance procedures and documentation requirements have been fulfilled

  • Maintain work order backlogs and ensure proper prioritization based on asset criticality and business needs

Asset Management & Tracking

  • Monitor and maintain current asset status information, including precise location data, condition assessments, and technical specifications

  • Document asset failures and coordinate appropriate maintenance interventions or replacement procedures

  • Conduct regular compliance audits to verify proper asset tag numbering, location hierarchy accuracy, preventative maintenance protocols, and job plan implementation

  • Maintain accurate asset registers and ensure proper configuration management

Resource Planning & Coordination

  • Forecast maintenance resource requirements, including labor, materials, and equipment needs

  • Coordinate with procurement teams to ensure timely availability of spare parts and maintenance materials

  • Schedule maintenance activities to optimize technician utilization and minimize operational conflicts

  • Collaborate with external contractors and vendors for specialized maintenance services

Reporting & Analytics

  • Generate comprehensive work orders and maintenance reports to track operational performance metrics

  • Maintain accurate records of technician work hours for precise job costing and financial reporting

  • Develop and implement robust databases, data collection frameworks, and analytical strategies to enhance statistical efficiency and data quality

  • Monitor key performance indicators (KPIs) such as equipment availability, maintenance costs, and schedule compliance

System Support & Collaboration

  • Deliver technical support for Maximo-related inquiries and resolve minor system issues

  • Partner with cross-functional teams to identify reporting requirements and data visualization needs

  • Continuously improve available analytics through iterative collaboration and feedback

  • Ensure adherence to established processes and reporting standards for data handling, visual presentations, and report generation
