The Executive Assistant will support the Chief People Officer and will perform a broad range of operational, office administration and executive support-related tasks.  The successful candidate will have the ability to effectively interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, resourceful, positive, and efficient.

Responsibilities

  • Provide in-depth executive administrative support to the Chief People Officer and lighter support to HR leadership team members

  • Collect and prepare information for use in discussions/meetings of executive staff and external individuals

  • Collect and prepare presentation materials for Board of Director meetings

  • Work on a variety of tasks/projects of diverse scope, where analysis of data requires evaluation of identifiable factors

  • Exercise judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions

  • Evaluate and modify current processes or create new processes to increase efficiencies and lower expenses

  • Schedule and coordinate executive meetings; cross-department meetings, company meetings and training sessions both on and offsite, oftentimes drafting and/or editing executive communications, agendas and presentation materials; ordering refreshments and recording, transcribing and distributing minutes of meetings as needed

  • Manage and maintain schedules, appointments and complex international travel arrangements

  • Manage expense reports for HR leadership

  • Ensure adherence to all security, confidentiality and privacy policies and controls

  • Willingness to work weekends and monitor emails in off-hours, as needed

  • Responsible for ensuring that all contractual and approval policies and controls are adhered to

  • Other projects as assigned

Experience and Knowledge

  • Typically requires a Bachelor’s degree and a minimum of 5 years of related experience; or an advanced degree with 3+ years of experience; or equivalent related work experience.

  • Experience working with C-level executives, both internal and external to company, as well as experience with customers, prospects, vendors, visitors, etc.

  • Related experience supporting executive officers/leaders in fast-paced environment (software/technology companies ideal)

  • Ability to speak at an executive level and handle the collection and dissemination of confidential information with tact and diplomacy, often in an environment of ambiguity

  • Must be able to work independently and have a sense of predictive judgement

  • Must be exceptionally well organized with the capacity to prioritize and manage multiple projects and enjoy the administrative challenges of supporting a growing company

  • Excellent interpersonal and team building skills

  • Stress and time management skills

  • Analytical and problem-solving skills; high attention to detail

  • High proficiency with MS Office, including Word, Excel, PowerPoint and Outlook

  • Professional and effective written and verbal communication

  • Independent judgment and strong decision-making ability

  • Project management experience is preferred
