THE ROLE

The Coordinator, Sports Experiences is primarily responsible for event operations and travel reservation management associated with clients, such as U.S. Soccer, U.S. Youth Soccer, USA Football, IMG Academy, PGA of America, USSSA, MLS Next, NYRR, and many more.

The person will coordinate travel reservations for large-scale sporting events. The individual's key characteristics include a strong desire to help people, strong attention to detail, organizational, communication, and customer service skills. In addition, this person must have the ability to manage multiple tasks and projects simultaneously and meet deadlines consistently.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES

Primary Responsibilities

  • Ensure all customers attending events are provided exceptional customer service
  • Optimize sales and maintain strong hotel relationships in markets
  • Contract and negotiate hotel contracts with properties according to event specifics
  • Create event and hotel builds in proprietary systems
  • Manage hotel inventory daily across markets for city-wide events
  • Help travelers with their reservations and resolve any guest-related issues
  • Manage all last-minute changes leading into events
  • Travel onsite for events to manage guest and client needs
  • Work with the marketing department to create and distribute consistent event-related communications
  • Compile and maintain event summary information, track historical sales and hotel reporting
  • Gain knowledge of all events to provide customer support for inbound calls, including scheduled phone hours
  • Audit hotel rooming lists to ensure accuracy of reservations
  • Support accounting with reconciliation and collection process
  • Assist in onsite fulfillment and hospitality services

QUALIFICATIONS

Required Education and/or Experience, Knowledge, Skills, and Abilities:

  • Bachelor's Degree in Sports Management, Hospitality, related field or equivalent experience
  • Minimum of 1+ years in the sports, travel, and/or hospitality industry

Travel

Must be adaptable with work and travel schedule and be available to travel for work during holidays. This position may require up to 10% travel.
