Position Summary

The Associate Accounting Analyst is responsible for supporting accounting and month-end close activities related to cash, prepaid expenses, Travel & Expense (T&E), corporate cards, and employee clearing accounts. The role ensures transactions are recorded accurately and timely, balance sheet accounts are properly reconciled, aged items are investigated and resolved, and supporting documentation complies with U.S. GAAP, company policies, and Sarbanes-Oxley requirements.

The position works closely with Treasury, Accounts Payable, Payroll, Finance, Human Resources, business stakeholders, and regional accounting teams to resolve accounting issues and maintain accurate financial records.

Changes to individual responsibilities may occur based on business requirements, and other related duties may be assigned.

Key Tasks and Responsibilities

Cash Accounting and Reconciliations

  • Perform weekly and monthly reconciliations of bank, cash, and cash-clearing accounts.
  • Compare bank statements, payment reports, subledger information, and general ledger balances to identify reconciling items.
  • Investigate and resolve unidentified receipts, outstanding payments, bank charges, returned payments, duplicate transactions, and other cash exceptions.
  • Prepare and post cash-related journal entries, reclassification entries, and month-end adjustments.
  • Monitor outstanding reconciling items and coordinate with the relevant teams to ensure timely resolution.
  • Maintain appropriate supporting documentation for cash accounting and reconciliation activities.
  • Support cash-related balance sheet fluctuation and variance analysis.

Prepaid Expense Accounting

  • Review invoices and expenses to determine whether costs should be capitalized as prepaid expenses or recognized immediately.
  • Ensure prepaid expenses are recorded in accordance with company accounting policies and U.S. GAAP.
  • Prepare prepaid expense capitalization, amortization, reclassification, and adjustment journal entries.
  • Maintain prepaid schedules and ensure amortization is recorded accurately over the appropriate benefit period.
  • Reconcile prepaid expense accounts to the general ledger as part of the monthly close.
  • Investigate aged, unusual, fully amortized, or unsupported prepaid balances and initiate corrective action.
  • Coordinate with Accounts Payable, Procurement, and business teams to obtain invoices, agreements, and supporting documentation.
  • Perform period-over-period variance analysis and provide explanations for significant movements.

T&E and Employee Clearing Accounting

  • Perform monthly reconciliations of T&E, corporate card, employee advance, and employee clearing accounts.
  • Review employee expense transactions and ensure they are recorded in the correct general ledger account, cost centre, entity, and accounting period.
  • Investigate aged employee balances, unsubmitted expense reports, unmatched corporate card transactions, duplicate claims, and other T&E exceptions.
  • Work with employees, managers, Accounts Payable, Payroll, and other stakeholders to resolve outstanding T&E and employee clearing items.
  • Prepare required accrual, reclassification, clearing, and adjustment journal entries.
  • Monitor long-outstanding employee advances and corporate card balances and escalate unresolved items when necessary.
  • Ensure T&E accounting activities comply with company travel and expense policies and applicable internal controls.
  • Prepare T&E ageing and exception reports for management review.

Month-End Close and Financial Reporting including Internal Controls/Compliance

  • Complete assigned month-end close activities within established timelines.
  • Prepare, review, and post recurring and non-recurring journal entries with appropriate supporting documentation.
  • Perform balance sheet reconciliations and ensure all reconciling items are properly explained, supported, and tracked to closure.
  • Prepare account movement analysis, trend reports, and variance explanations for management review.
  • Support the preparation of financial statements, cash-flow information, and internal management reports.
  • Ensure accounting entries are accurate, complete, appropriately approved, and recorded in the correct accounting period.
  • Support quarterly and year-end close activities as required.
  • Perform assigned activities in accordance with U.S. GAAP, company accounting policies, and established procedures.
  • Ensure journal entries, account reconciliations, and supporting documentation meet internal control and audit requirements.
  • Identify control gaps, recurring reconciliation issues, and process risks, and communicate them to the appropriate stakeholders.
  • Maintain complete and audit-ready records for all assigned accounting activities.
  • Support quarterly reviews, annual external audits, internal audits, and SOX testing.
  • Prepare audit schedules, account reconciliations, journal-entry support, and responses to audit requests.
  • Build productive working relationships with internal and external stakeholders.
  • Communicate accounting issues, overdue items, risks, and required actions clearly and promptly.
  • Collaborate with cross-functional and regional teams to resolve accounting and operational issues.
  • Provide standard professional accounting guidance within the assigned areas of responsibility.

Scope of Responsibilities

  • Applies company accounting policies and procedures to resolve routine and moderately complex issues.
  • Determines an appropriate course of action based on established guidelines and accounting principles.
  • Works on assignments of moderate scope that require analysis, judgment, and the application of learned accounting techniques.
  • Exercises judgment within defined procedures and practices to determine the appropriate accounting treatment.
  • Works independently on day-to-day responsibilities and receives limited supervision.
  • Escalates significant accounting issues, control concerns, and unresolved aged items to management.
  • Manages multiple responsibilities and meets weekly, monthly, quarterly, and annual reporting deadlines.
  • Builds effective working relationships with internal business partners, regional finance teams, and external auditors.

Education and Experience

  • Bachelor’s degree in accounting, Finance, Commerce, Business Administration, or a related discipline.
  • Typically requires a minimum of two years of relevant accounting or finance experience; alternatively, an advanced degree with limited professional experience or an equivalent combination of education and experience.
  • Professional qualifications such as CA, CPA, ACCA, CMA, or an equivalent certification are preferred.
  • Experience in general ledger accounting, balance sheet reconciliations, journal entries, and month-end close activities.
  • Experience in cash accounting, prepaid expenses, T&E, corporate card, or employee clearing reconciliations is preferred.
  • Experience working in a multinational company or shared-service environment is an advantage.
  • Experience supporting SOX controls and internal or external audits is preferred.

Knowledge and Skills

  • Strong understanding of U.S. GAAP and general accounting principles.
  • Good knowledge of journal-entry preparation, account reconciliations, accruals, reclassifications, and financial reporting.
  • Strong analytical skills with the ability to investigate account variances and resolve reconciliation issues.
  • Proficiency in Microsoft Excel, including formulas, PivotTables, lookups, and data analysis.
  • Familiarity with ERP systems and expense-management applications is preferred.
  • Strong organizational and time-management skills.
  • Detail-oriented and self-motivated, with the ability to work independently and meet deadlines.
  • Ability to manage multiple priorities in a fast-paced month-end close environment.
  • Strong interpersonal and stakeholder-management skills.
  • Ability to communicate clearly and concisely, both verbally and in writing.
