The Commercial Events Coordinator supports internal processes and assists the cross functional teams in Exact Sciences' DACH organization. Key responsibilities include managing office processes, budgeting, communication, event organization, and monitoring campaigns to achieve company goals. The goal is to successfully support internal processes and commercial activities.

The role holder will have the ability to work autonomously in the head office in close cooperation with the entire DACH team. Due to the complexity of gynecological oncology diagnostics, it is necessary to have strong product understanding and background in working with all relevant departments. The role holder needs to be well-organized, flexible, and passionate about working with complex projects and driving to success.

Position Overview

This position is based in our German headquarter of Exact Sciences in Munich.

Essential Duties

• Proactive management of cadence for commercial events
• Collaboration with Country Head and Leadership team for planning commercial events
• Organization and coordination of day-to-day office tasks, assuming central coordination for internal and external requests
• Liaising with external service providers (e.g., IT, facility management, accounting)
• Managing contracts, documents, and office supplies
• Provide administrative support for onsite and offsite meetings and events
• Support team communication efforts
• Support onboarding of new employees
• Effectively manage the annual and quarterly budgets
• Liaise directly with various outside groups, (i.e., Advertising, and PR agencies)
• Work directly with internal parties (especially Sales Team) on a wide range of projects
• Manage the ordering system for promotional materials
• Support and comply with the company’s Quality Management System policies and procedures
• National level Congress planning and event management
• Sales Meeting coordination and agenda building
• Uphold company mission and values through accountability, innovation, integrity, quality, and teamwork

Qualifications

• Bachelor’s degree or Master’s degree (preferred) and 2+ years of experience in related field or top post university graduate talent entry into Medtech/Pharma/Biotech Industry
• Experience collaborating with commercial field teams and cross-functional therapy area teams and project management
• Knowledge of market structure and landscape within Germany
• Experience in working with creative agencies and other external partners to support business goals
• Proficient in Microsoft Office programs
• Strong team working skills within a matrix organization
• Ability to work independently and manage multiple timelines
• Strong attention to detail, quality-oriented with the ability to see the big picture
• Excellent verbal, written, and interpersonal communication skills
• Highly organized and self-motivated
• German and English skills in written and oral
