We are seeking a proactive and service-oriented Administrative Assistant II with outstanding administrative and customer service skills. In this role, you will be an integral part of a dedicated team of administrative specialists, impacting all facets of administrative support and customer service. You will thrive in a fast-paced environment, displaying strong organizational skills, attention to detail, the ability to work independently and collaboratively, and exceptional communication capabilities.

Responsibilities:

  • Deliver exceptional internal and external customer service, including greeting and announcing clients, applicants, and visitors.

  • Adhere to security procedures and compliance for guests, suppliers, and other visitors, including badge protocols.

  • Maintain the neat appearance of the reception area, conference rooms, and other common areas.

  • Assist with scheduling and preparing meeting and conference rooms, including coordination of setups.

  • Facilitate catering arrangements and setup for meetings and events.

  • Conduct inventory of kitchen supplies, food, and office supplies, ensuring timely replenishment.

  • Request building and housekeeping services as necessary and serve as the main point of contact for building and office needs.

  • Provide administrative support to the administrative team and other business units as required.

  • Establish trust, foster positive and professional relationships, and contribute to an inclusive culture.

Minimum Qualifications:

  • 2-3 years of experience in administration, reception, concierge, customer service, or other hospitality environments.

  • Exemplary attention to detail with the highest level of integrity, confidentiality, and professionalism in business dealings.

  • Strong customer service background with excellent communication and problem-solving skills.

  • Proficiency in Microsoft Office Suite, including MS Teams.

  • Ability to be flexible with work schedule (6:00am – 5:00pm). 

  • Must be a U.S. citizen or national, U.S. permanent resident (current Green Card holder), or lawfully admitted into the U.S. as a refugee or granted asylum.

  • At least 18 years of age with a High School Diploma, GED, or equivalent.

  • Must have a valid Driver’s License.

Desired Qualifications:

  • Experience with systems and software such as Traction Guest, OnBase, Maximo, ITS, and Gensuite.

  • Associate’s or Bachelor’s degree in a related field.

  • 4+ years of experience in administrative/receptionist roles.

Paid Time Off:  Up to four (4) weeks per year based on weekly scheduled hours, and up to 14 company-paid holidays.
