Assistant Facilities Manager

JLL is seeking an Assistant Facilities Manager in Chicago, Illinois to assist in the delivery of services to operate and maintain client properties including customer/client services, financial management, facility maintenance, and procurement and supplier management.

Essential Duties and Responsibilities

  • Work with the Facility Manager to oversee the delivery of maintenance, repair, custodial, security and other building services.
  • Ensure client satisfaction with the delivery of all IFM services and provide a lead role in monitoring and increasing customer satisfaction.
  • Proactively develop and manage client relationships ensuring that expected service levels are achieved.
  • Assist in the development and management of budgets and develop monthly/quarterly variance reporting on all operating budgets for each property on a timely basis, maintain Financial Calendar.
  • Perform necessary Accounts Payable duties as required. Knowledge of E-1 helpful.
  • Oversee the appropriate monthly/quarterly/annual reporting appropriate for the client and reporting for corporate finance.
  • Ensure compliance with minimum audit and compliance standards in facility management, financial management, and operational policies and procedures.
  • Meet or exceed site Key Performance Indicators (KPI’s) and monitor Service Level Agreements (SLA’s) to identify potential changes and plan corrective actions accordingly.
  • Enforce all company policies and training requirements regarding safety.
  • Implement and monitor hazard control and team safety practices, ensure compliance with local codes and regulations and operations standards.
  • Monitor Work Order performance and take corrective action when necessary.
  • Schedule and monitor employee training.

Required Knowledge, Skills and Abilities

  • Minimum of two years of facility management industry experience required.  Bachelor’s degree in accounting or other Business related degree is preferred.
  • Must have basic computer and Smartphone skills for CMMS (Angus Anywhere experience is a plus), email, MS Office, TEAMS, Safety training, Sourcing, E-1, etc.
  • Strong organizational and management skills.
  • Must be motivated and able to work without direct constant supervision.
  • Excellent customer, computer, verbal, and written communication skills.
  • Ability to multi-task and effectively organize responsibilities to achieve portfolio goals and objectives.
  • Basic knowledge of building systems and technical skills (mechanical and electrical systems).
  • Must have a valid driver's license at all times, (requires travel between multiple client sites located in Chicago).
  • Must have strong Teamwork, Ethics, and Excellence (JLL core behaviors).

Estimated total compensation for this position:

72,000.00 – 77,000.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
