The Role:

We are seeking an experienced candidate with a strong background in compliance and operational management to oversee all mailroom functions within a financial institution. Develop key performance metrics and delivery performance to ensure compliance and service levels are met. This position takes ownership, mitigating any mail risks for the company and improving any processes and procedures in the mailroom in addition to multitasking between the mailroom and administrative projects that drive support of our company culture. This role requires a strategic mindset, an eye for detail, and strong written and verbal skills. This position will oversee our 3rd party vendor relationship and be responsible for reporting. The candidate should have prior experience leading mailrooms.

What You’ll Do:

  • Mailroom - Oversight and management, and mail shipping, receiving, scanning duties, as needed to augment third party provider.
  • Lead and manage projects related to mailroom and operations, ensuring they align with organizational goals, timelines, and compliance standards.
  • Develop mailroom operational procedures, routing rules and adhere to SLA’s and policies , set clear objectives, and monitor performance, providing regular updates to senior leadership and stakeholders.
  • Coordinate with internal departments and external vendors to ensure timely execution of operational performance and regulatory compliance.

Vendor Management, Compliance & Risk Management:

  • Ensure all mailroom activities comply with relevant banking regulations, industry standards, and internal policies (e.g., data privacy, security, anti-money laundering).
  • Conduct regular audits and assessments to identify potential compliance risks and implement corrective actions.
  • Process Optimization: Identify opportunities for process improvements and operational efficiencies within the mailroom.
  • Implement new digitization technology with third party vendor. 
  • Monitor key performance indicators (KPIs) to measure success and continuous improvement in departmental operations and conduct quarterly business reviews.
  • Ensure 3rd party provider meets compliance standards

Workplace Operations Support:

  • Support for Facilities team including employee engagement activities, set-up and take-down of office meetings, site wide activities, community involvement and other special events as needed.
  • Support ordering, stocking, and inventory of the office’s breakroom and office supplies through vendors.

What You’ll Need:

  • Bachelor’s degree 
  • Minimum 5 years of mailroom management experience
  • Preferred understanding of banking regulations, including data privacy, anti-money laundering (AML), and other relevant compliance frameworks.
  • Excellent project management skills, including experience with project planning, resource allocation, and stakeholder communication.
  • Strong knowledge of compliance best practices and regulatory requirements in the banking sector.
  • Ability to analyze data, identify inefficiencies, and implement solutions for process improvement.
  • Strong written and verbal communication skills, ability to create spreadsheets and power point presentations.
  • Demonstrated experience with Google and/or Microsoft Suite 
  • Experience with document management systems or automated mailroom solutions.
Compensation and Benefits
The base pay range for this role is listed below. Final base pay offer will be determined based on individual factors such as the candidate’s experience, skills, and location.
