This role works closely with both the operations and advice teams to research and resolve issues that affect clients, submit and track new business and help support other operations directly related to the success of the team such as compliant mail and funds processing, coordinating/tracking projects, managing business tasks and providing accountability.

75% Administrative:

  • Calendar management

  • Assist and lead ad-hoc projects as needed or assigned by Leader and advisors

  • Process Mail and Funds compliantly

  • Greet clients upon arrival and extend hospitality to clients

  • Answer and field client phone calls

  • Make brief notes each day in Customer Relationship Management system (CRM) concerning client calls, follow up, and tasks

  • Strong focus on timely and effective client and team communication

  • Communicate issues to Leaders and provide feedback and recommendations they can act upon

25% Client Service/Business Management:    

  • Prepare and ensure financial advisors’ new business paperwork processes successfully, which may include preparing forms, obtaining appropriate signatures, and tracking new business

  • Maintain connection with clients on an on-going basis by making quarterly service calls

  • Communicate issues we have with service, technology, platinum partners, etc. with advisor and provide feedback to Home Office contacts to resolve if necessary

  • Follow-up with client and home office on related issues

  • Prepare cases for client visits

  • Lead and assist with marketing initiatives
