CAE is seeking an organized and detail-oriented Training Record Administrator

Administrative Tasks:  

  • Submit reports on training activities and follow up until completion   
  • Purchase training materials through various vendors for all training programs.  Proficiency in Oracle is a plus.     
  • Handle accounts receivable and ensure invoices are paid.  

Coordination Tasks:  

  • Coordinates with training manager for all student and instructor pilots training requirements, documentation, and follow up for training related issues  
  • Book/Schedule classrooms and ensure they all properly set up  

Compliance:  

  • Ensure that all instructors are filling the client records properly and according to the standards of the authority within the electronic system (Talon ETA)  
  • Assisting students and Instructors during their IACRA application 

Minimum Qualifications

  • High School Diploma required; Associate degree preferred.
  • Minimum of 1 year of administrative experience in a professional office environment.
  • Strong customer service skills and experience.
  • Proficiency in Microsoft Office applications, including Excel (ability to create logical formulas).
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks simultaneously and prioritize effectively.
  • Strong organizational and time management skills.
  • High level of attention to detail.

Preferred Qualifications

  • Experience using Oracle systems.
  • Experience supporting training programs or aviation-related operations (e.g., instructor or student pilot coordination).
  • Familiarity with Talon ETA or similar electronic training record systems.
  • Familiarity with FAA systems such as IACRA.
