Job Summary

Rite Aid Healthy Futures, a public charity affiliated with Rite Aid, one of the nation’s leading pharmacy retailers, improves the lives and futures of children and families in Rite Aid communities through partnerships that help build healthier, more equitable neighborhoods. The Grants and Operations Manager supports the administrative functions essential to the charity's grant making, operational, financial and fundraising activities. This position requires a blend of organizational stewardship, technological proficiency, and exceptional communication skills to ensure seamless operations. The teammate is responsible for managing the grant system (CyberGrants), administering disbursements, preparing Board materials, working closely with Rite Aid functions and external vendors, facilitating effective communication within the team, company and external partners, and maintaining accurate organizational records and state registrations. This role offers an exciting opportunity to contribute to the meaningful work of our charity while gaining valuable experience in nonprofit operations and grants administration.

Responsibilities

  • Oversee the grant administration process, from initial application to disbursement. Ensure timely payments, adhere to protocols and compliance standards. Maintain comprehensive and accurate records of grant recipients, funding allocations, and payment schedules. Manage communication with current and prospective grantees for Rite Aid Healthy Futures. Beyond grant making, process invoices and payments to the charity's vendors.
  • Manage the functionality and optimization of the grants management system. Implement improvements to streamline processes and enhance efficiency. Provide training and support to associates on grant management software. Assist in creating standard grant templates, reports, and dashboards for varied stakeholders.
  • Work with partner firm to support annual audit and complete state registrations. Collaborate with the team to reconcile grant-related expenditures and annual budgets. Contribute to the development and implementation of operational policies and procedures. Support and track fundraising activities and donations, manage fundraising deductions and incoming donation checks/e-payments. Support annual events with grantees, associates, and donors.
  • Serve as a point of contact for grant inquiries and administrative matters. Coordinate meetings, schedule calls, and provide logistical support for team activities. Support facilitation and tracking of invoices, reimbursements, and check requests. Manage Healthy Futures organizational mailings and correspondence.
