Job Description:

The Events Operations Coordinator helps to assist the Global Events and Recognition department. This position involves not only managing tasks but helping build systems that allow the department to scale effectively. The Operations Coordinator partners directly with the VP of Global Events to streamline departmental operations, manage complex financial and legal workflows, and ensure the long-term strategic health of the event portfolio. This role is intended for a detail-oriented systems-thinker who thrives on bringing order to fast-paced environments.

Job Responsibilities:

  • Streamline team procedures, including the maintenance of SOPs and the optimization of record-keeping systems.

  • Contribute to weekly team meetings to ensure the team remains on track with deliverables.

  • Own the event post-mortem process to ensure key learnings are documented and implemented.

  • Oversee the departmental "rhythm of business," including project tracking, time-off calendars, and team recognition efforts.

  • Serve as the primary liaison for the legal department; manage the submission, tracking, and execution of all event contracts via Agiloft.

  • Maintain high-level event budgets, providing real-time visibility into spend and forecasting for leadership.

  • Partner with Accounts Payable to ensure invoices are routed correctly and assist with P-Card expense reconciliation.

  • Provide specialized support for major vendor-related invoices and contracts.

  • Maintain the integrity of future event planning by tracking options and securing contracts for multi-year event cycles.

  • Help manage communication with International VPs and Global Executives on behalf of the VP.

  • Proactively review upcoming calendar commitments to prepare necessary PowerPoint decks, briefing documents, and agendas.

  • Maintain a "Swag Archive" to ensure brand consistency and inventory control across global events.

Job Qualifications:

  • 5+ years in project management, business operations, or high-level event coordination.

  • Bachelor's degree or equivalent experience

  • Proficiency with contract management software (Agiloft preferred) and advanced Microsoft 365 (OneDrive, Teams, PowerPoint).

  • Exceptional written and verbal communication skills, with the ability to interface effectively with C-suite executives.
