What You'll Do

Responsible for answering main HR phone line. Provides excellent customer service to staff, applicants, and visitors. Completes daily tasks in accordance with department policies and procedures. Provides clerical support for the department as needed.

Schedule: Full Time (40hrs/week)

Essential Functions

  • Responsible for answering main phone line to HR timely and works to minimize customer wait time in the call queue.

  • Assists in maintaining personnel files, health files, and other filing as assigned by supervisor or designee in accordance with departmental standards.

  • Promotes a positive on-boarding experience for all new employees through ensuring a timely and accurate pre-employment visit to HR for new hire paperwork and testing. Ensures documentation is correct and compliant with regulatory requirements such as I-9.

  • Provides excellent customer service and accurate resource for information for employees, applicants, and visitors.

  • Scan and verify accuracy of employee documentation in Laserfiche.

  • Assists HR coordinators with special projects and assignments as needed.

  • Promotes a team environment by cooperating with the different disciplines of the HR team to ensure the front desk staff meet the service, regulatory, and procedural needs of each area.

  • Maintains a detailed, front desk work instruction book

  • Performs accurate, daily data entry into Workday for badge number assignments and changes, address changes, etc...

Knowledge 

  • Knowledge of office equipment such as fax, copier, multi-line phone system, and credit card machine

  • Knowledge of office etiquette.

  • Working knowledge of Microsoft Office products Outlook, Work, and Excel

Skills Abilities 

  • Ability to be flexible, multi-task, organize, and prioritize tasks effectively in a fast-paced work environment with an emphasis on providing excellent customer service

  • Ability to problem solve, taking into consideration multiple variables.

  • Ability to read, speak and write fluent English.

  • Communicate and effectively interact with applicants for employment, the public, and personnel at all professional and vocational levels.

  • Detail oriented, high level of accuracy and ability to work independently.

Requirements 

Knowledge typically obtained through a high school diploma

Preferred Requirements 

  • Business office experience

  • Customer service experience.
