Linklaters Belgium is seeking an entrepreneurial and dynamic Management Assistant to strengthen the Brussels office. Working for the Antitrust and Foreign Investment group, you will need to be adaptive and supportive of change. The role will include proactively taking ownership of tasks and projects, providing support and playing a critical role in managing all routine and daily administrative tasks.

Job Description
- Provide administrative support to lawyers,
- Handling with all correspondence, e-mails and documents,
- Manage lawyers’ Outlook calendars,
- Organise meetings, travel and conference calls; and register lawyers for seminars,
- Support lawyers’ business development activities and client meetings,
- Undertake all document production tasks (using Linklaters HouseStyle),
- Create or amend Power Point presentations,
- Amend PDF documents (redactions, add watermarks, remove metadata, etc.),
- File documents (both in paper and electronic filing), printing, copying, scanning,
- Ensure timesheets are completed in the system,
- Execute billing tasks, such as opening new matters, follow-up on engagement letters, preparing narratives for the invoices (excel sheets) and sending invoices to the client,
- Process expense claims and purchase requests.
Skills and Experience
- Required language skills: Excellent English. French and/or Dutch will be seen as an advantage,
- Positive can-do attitude, team player, conscientious and diligent,
- Outstanding communication and interpersonal skills and able to develop relationships with people of all levels and deal with them professionally at all times,
- Sharp organisational skills and the ability to manage time to complete multiple tasks and prioritise efficiently under pressure,
- Excellent attention to detail and delivering high quality of work,
- High level of proficiency in Microsoft Office tools (Outlook, Word, Excel and PowerPoint),
- Preferably own a bachelor degree in administration/management assistant,
- Previous experience in a similar position in another law firm is an asset.
