Position summary:

To provide overall administrative and business support to the VP, Neurovascular, Greater China, as well as business team

Essential Duties & Responsibilities: (Detailed Description)

  • Coordinate key meetings and events across APAC

  • Serve as the primary organizer and key point of contact for all NV internal meetings and training sessions, including global, APAC, and Greater China business meetings

  • Plan, organize, and execute Town Hall meetings for Greater China

  • Prepare meeting agendas, make logistical arrangements, document meeting minutes for meetings, events, and projects, and follow up on action items in a timely manner

  • Assist with vendor contract renewals and support colleagues with procurement processes

  • Submit product complaints via Trackwise within 24 hours

  • Manage daily administration for the Beijing office and arrange birthday gifts for all employees

  • Maintain close working relationships and communicate effectively with NV internal stakeholders

  • Arrange travel itineraries, accommodations, visas, and business trips for VP and management team as needed

  • Collect, maintain, and summarize accurate monthly miscellaneous reports from Sales, Marketing, MA, RAQA, Operations, and ICM in accordance with VP requirements

  • Consolidate Monthly Management Reports and quarterly business reviews

  • Drive filing process improvements; file and archive all NV event records, contracts, and related documentation for audit and internal use

  • Act as the executive support to VP, manage daily calendar, prioritize appointments, and handle confidential information with discretion

  • Prepare and proofread presentations, reports, memos, and other business documents for VP

  • Support cross-departmental communication and follow up on action items assigned by VP

  • Assist in budget tracking, expense reporting, and reimbursement for the VP office

  • Support business continuity, ad-hoc projects, and special assignments as assigned by VP

Education & Experience:

  • Bachelor’s degree from an accredited university or college

  • Minimum 3 years of relevant professional working experience

  • Excellent proficiency in both written and spoken English

  • Advanced skills in MS Office suite (Word, Excel, PowerPoint, Outlook)
