Job Summary

We are excited to launch the search for a newly created role: Executive Assistant, partnering primarily with the Senior Vice President for Student & External Affairs.  Secondarily this role will work closely to enable the functions of the President’s Office, the Student & External Affairs Division, and Institutional Advancement. In this role, you'll be the primary administrative support for the SVP of Students & External affairs along with other senior leadership at the college, managing their calendar, handling communications, and coordinating travel and expenses. Additionally, you'll provide secondary enablement to the President’s Office covering phones and schedules, coordinating meetings, and assisting with special events.  This role will be highly visible, provide opportunity to engage across campus with key leaders, and have access to teams and departments throughout the college.  You will be the SVP’s right hand for their day-to-day.

Key Outcomes

60% of Time:  Serve as the primary administrative enable to the Senior Vice President (SVP)

  • Strategically manage and schedule the SVP’s daily calendar.

  • When requested, attend meetings with the SVP to take minutes; manage, communicate and track assigned follow-up tasks for meeting attendees.

  • Complete follow-up coming out of meetings and strategic efforts

  • Manage day-to-day correspondence and communications including phone, email, and written correspondence for the SVP, as assigned.

  • Responsible for booking domestic and international travel arrangements.

  • Track and process expenses and reimbursements.


 

20% of Time: Serve as the secondary administrative function to the President’s Office 

  • Cover the president’s office phones and the president’s schedule in the executive assistant’s absence or break times

  • Coordinate meeting and meals (as necessary) for guests and visitors to the president’s office.

  • Serve as first point of contact for the President’s office by greeting and welcoming all visitors to the President’s office.  

20% of Time: Serve as the secondary administrative support person to the Student & External Affairs Division including Communications and Marketing, Institutional Advancement and Student Affairs.

  • Provide administrative support coverage as assigned during time of absence.

  • Support special events with event planning and preparation, as well as day-of engagement.

  • Active knowledge of the Google Suite required

  • Minimum of 3 years of experience scheduling and coordinating cross-functionally

  • Strong business acumen and an ability to maintain confidentiality

  • Some attendance to evening events may be needed as discussed with reporting manager
