What this job involves
Site Operations
Assist the country facilities lead to deliver the professional services meeting the Client business needs and contribute to the success of the account strategies supporting the site operation team.
Boost agility in the workplace by managing up-to-date visitor information.
Anticipate client needs through observation to create memorable experiences.
Assist the Client’s management of the tactical delivery for the assigned property/facility and be the on-site key point of contact involved in soft service and maintenance activities.
Management of the Client direct contracted and JLL contracted vendors. Demonstrating as a Point of Contact, escorting vendors during due diligence and site activities and other running business.
Planning maintenance activities and track the status quo. Documentation for activities offline and online both.
Occasional event support.
Safety Management
Contracted Workers Authorization (EHS pre work approval) and follow the Client and JLL Global Safety Policies and local standards.
Follow incident reporting procedures and adhere to JLL’s policies and compliant to the local laws and regulations.
Management of Office PPE and fist aid kit inventory update and replenishment.
Procurement & Finance:
Services and goods purchasing to payment. Manage Purchase Requisition and Purchase Orders on Oracle’s systems.
Invoice processing for Account Payable and Account Receivable. Work closely with Account Regional Finance teams in China and India.
Ensure all invoices, as related to the operation, are appropriately processed and tracked.
Watch the budget consumption trend and timely report to the site facilities lead and Account Regional Finance teams.
Customer Services
Helpdesk services and trouble shoot, tracking the status to completion.
Foster a sense of hospitality and create happiness at work for our client and their guests and our team.
Creating a welcoming environment for clients, (internal/external) customers by providing authentic, caring and timely service.
Manage and liaison incoming calls from the Client employees and external both.
Visitor Management
Ensure personable and efficient visitor management services.
Ensure regulatory compliance in managing visitor access through clients Visitor Management Systems, if applicable.
Enhance safety and security of our client’s facility by management of visitor movement.
Execute emergency response plan to ensure safety of client and guest when necessary.
Deliver concierge service with local expertise and insider knowledge.
Core Competencies
Experience & Background
Minimum 2-3 years of practical experience in facilities, administrative, hospitality or related fields.
Prior experience in reception work is preferred. Understanding basic technical systems. (CRAC, UPS, Fire Protection system, Mechanical & Electrical systems, etc.) is advantageous.

Demonstrated proactive and professional approach to customer service .
Ability to interact with a wide range of client staff, including senior levels.
Maintains professional and friendly attitude in customer interactions.
