Job Description:

General Description: Provides assistance to a clinic by being the initial contact, maintaining records, acting as a physician liaison, gathering information, providing counseling, managing complaints, developing contracts, maintaining supplies, coordinating surveys, and providing billing assistance. 

Essential Responsibilities:

  • Initial Contact.  Serves as the initial contact employee within the clinic for all associated entities.
  • Record Maintenance.  Maintains comprehensive patient records and files to ensure proper documentation.
  • Physician Liaison.  Serves as a liaison between physicians and patients. 
  • Information Gathering.  Gathers medical and other related information from clinic patients.  Analyzes information and refers to designated clinic physician.  Gathers verbal and written feedback from patients, physicians, service providers, etc.
  • Counseling.  Provides counseling to patients and family members.  Discusses health care to be provided, who will be providing, etc.  Answers any questions or refers to appropriate personnel.
  • Complaint Management.  Manages complaints from all sources including patients, staff, physicians, etc.  Intercedes with physician and initial complaint.  Works in conjunction with Clinic Administrator to address complaints. 
  • Contract Development.  Develops contracts with medical professionals providing services to patient to ensure compliance. 
  • Supply Maintenance.  Maintains supplies for the clinic by ordering and tracking supplies.
  • Survey Coordination.  Coordinates the distribution of monthly patient satisfaction surveys. 
  • Billing Assistance.  Provides billing and coding assistance.  Evaluates and codes all invoices for payment.  Stays abreast of all laboratory and insurance requirements.

Minimum Requirements:

Education: None required.  Bachelor’s degree preferred.

Experience: 2 or more years of experience in an outpatient clinic required.

OR equivalent combination of education and experience.

Licensure/Certifications/Registrations Required:  None required.

Knowledge, Skills & Abilities:

  • Excellent verbal and written communication skills
  • Proficient with the use of Microsoft Office tools
