Position Summary:

The Leasing Assistant is responsible for presenting our community to prospective residents, providing customer service, and participating in the marketing of the community.  As a front-line employee, it is imperative to provide both existing and potential residents with a superior level of service.

This position will champion the JLL Culture of Communication, Collaboration and Trust while performing the following duties:
Sales and Presentation:

  • Opens and inspects the models and the market “ready” vacant suites daily to ensure they are presentable in accordance to established standards
  • Maintains the leasing gallery in a professional manner and ensures it is open and ready for business on time each day
  • Answers telephone and email leads by responding to leasing inquires on a daily basis
  • Follows pricing procedures as directed
  • Inputs accurate and timely information into CRM for all telephone, email and walk-in traffic including inputting rentals, cancellations, transfers, and lease renewals
  • Compiles welcome paperwork with lease, associated addendums and forms in compliance with policies and procedures and schedules move-in appointments for reviewing the lease and lease documents with new residents
  • Monitors the rental application process in accordance with policies and procedures and in compliance with JLL approval guidelines

Marketing:

  • Gathers competitive market information regularly through telephone calls, internet research and site visits
  • Creates and posts advertisements on websites, as required.
  • Generate leads through a variety of avenues (e.g. telemarketing, distributing flyers etc.)

Administration and Reporting:

  • Gathers all information for application approvals and prepares lease package and move in experience materials
  • Prepares routine reports (Daily, weekly, monthly leasing traffic report/ market survey, etc).
  • Inputs all Guest Registration Card information into CRM
  • Assists in maintaining an accurate and current priority wait list and assures all prospects are kept in constant communication with leasing availability
  • Ensures the efficient and profitable operation of the property advising management if suites are not rent ready
  • Reviews and submits changes to the availability report each week or as directed
  • Performs other duties as assigned

Sound like you? To apply, you must be/have:

  • 1-2 years’ experience in residential property management, hospitality, seniors housing, real estate sales or marketing.  
  • High School diploma supplemented with post-secondary courses in Business or Real Estate Administration.
  • Relationship Skills - Excellent oral and written communication and presentation skills; ability to develop and sustain cooperative working relationships with prospects, residents, and internal staff.
  • Organizational/Multi-Task Skills - Ability to allocate one’s time effectively, work under pressure and manage tight deadlines and achieve quality results; ability to handle multiple demands and competing priorities and adapt to new ideas and constant changes; ability to use initiative and self-managing skills to work independently with minimal direction and respond effectively to issues that arise.
  • Computer Skills – Advanced skills in Excel, Word, Outlook, and proficiency with Yardi.
  • Knowledge – A complete understanding of all applicable laws, legislation and rights concerning resident/landlord relations.
