St Vincent’s Private Hospital Melbourne is seeking a highly organised and customer-focused Theatre Receptionist / Clerk to join our Perioperative Services team. About the Role

Reporting to the Perioperative Services Manager, the Theatre Receptionist / Clerk is responsible for managing the clerical administration of the Perioperative Suite while supporting Nurse Unit Managers and clinical staff with day-to-day administrative functions.

As the first point of contact for patients, visitors, surgeons and staff, you will provide exceptional customer service both face-to-face and over the phone in a fast-paced healthcare environment.

Key Responsibilities

  • Provide a high level of customer service to patients, visitors, VMOs and staff
  • Respond to phone enquiries and manage front desk operations within the Theatre Department
  • Coordinate theatre administration and departmental clerical support
  • Maintain accurate patient perioperative data, prosthesis codes and CMBS item numbers
  • Schedule appointments and support departmental diary management
  • Process medical observer requests and surgical assistant documentation
  • Assist with roster input, presentation preparation, filing, archiving and report typing
  • Manage locker allocations and departmental records
  • Order stationery and medical supplies as required
  • Utilise hospital systems including IBA, Riskman, BEIMS and other internal platforms
  • Support quality improvement initiatives and maintain theatre reception manuals
  • Ensure compliance with infection control, WHS and hospital policies and procedures

About You

To be successful in this role, you will have:

  • Previous experience in a healthcare clerical, administration or receptionist role
  • Strong customer service experience in a fast-paced environment
  • Intermediate to advanced computer skills including Microsoft Office
  • Excellent communication and interpersonal skills
  • High attention to detail and accurate data entry skills
  • Strong time management and multitasking abilities
  • Ability to work collaboratively within a multidisciplinary team
  • Understanding of medical terminology (desirable)
  • Experience with hospital systems and patient management systems (desirable)
  • Commitment to patient confidentiality and professional standards
