JOB SUMMARY

The Sales Office Assistant position at Forest Lawn is responsible for assisting the Sales Office Manager and other managers with the daily activities of the office and personnel. 

WHAT YOU'LL BE DOING

  • Help maintain Weekly Time Verification Forms by scanning and filing in the correct manner.

  • Answer client family inquires on property contacts and deed deliveries.

  • Ensure that the daily sales reports are submitted to the Advance Planning Senior Vice President’s office in timely manner.

  • File office documents, such as commission statements, sales unit reports, etc.

  • Assist sales office manager with the maintenance of supplies necessary for the office.

  • Answer and field all incoming calls.

  • Review property and funeral policy contracts and check for errors.

  • Assist in updating numbers on board daily.

  • Assist with the assembly of packets of information, contracts, and forms for Planning Advisors. Track and replenish supply of forms made available to Planning Advisors in a timely manner.

  • Print property and Insurance delinquency reports and provide to the sales office manager.

  • Mail policy payments to National Guardian Life Insurance.

  • Print from HMIS necessary information sheets for Planning Advisors.

  • Label, sort and envelope stuffing of collateral material.

  • Bundling of contracts, documents and other material for the purpose of sending them through interoffice mail.

  • Scan and fax contracts and documents as required.

  • Assist Planning Advisors and Managers by looking up property availability on HMIS as needed.

  • Take phone message in the absence of management and communicating them to management.

  • Assist Managers and Planning Advisors who are conducting in-house group or individual presentation or open-house recruiting events.

REQUIRED QUALIFICATIONS

  • Must be available on weekends

  • Type 30 wpm

  • PC Proficient

  • Knowledge of MS Word, MS Outlook

  • Excellent Customer Service and communication skills

  • positive, supportive, and motivating attitude and demeanor

  • High School Diploma/GED

  • A minimum of 2 years of experience in customer service/clerical experience

DRUG TESTING POLICY
