Summary
We are seeking a Project Controls Coordinator to oversee the financial and administrative aspects of multiple projects, ensuring they stay on track and within budget. You will collaborate closely with internal teams (Engineering, Business Development, Project Management) and external stakeholders to coordinate deliverables, communicate project statuses, and flag any issues that could affect timelines or costs. This is a hands-on role best suited for an organized individual with experience in project tracking and budgeting.
Salary Range: $70,000 – $100k
Key Responsibilities
- SOW-to-PO Management: Oversee and track Statements of Work (SOWs) through the Purchase Order (PO) process to ensure accuracy and compliance.
- Project Workspace Creation: Create and maintain project workspaces (e.g., Zoho Projects) for each PO, ensuring all tasks, timelines, and documentation are up to date.
- Support Internal Communications: Gather and provide relevant data and updates to Business Operations, enabling clear and timely communication with internal teams (e.g., REM, Engineering, Business Development) as needed. Assist in scheduling meetings and facilitating status updates.
- Cost & Expense Tracking: Monitor project expenses against budgets; flag any risks or deviations from established financial targets.
- Budget Alignment: Identify discrepancies, generate cost variance reports, and propose corrective actions to keep projects on track.
- Schedule Management: Update due dates based on burn rates, track milestones, and proactively communicate 30-/60-day out end dates or project completions.
- Reporting: Compile internal and external project reports; maintain regular status updates for stakeholders.
- Project Closeout: Coordinate project closure activities in Zoho (or equivalent software) and communicate results to internal and external stakeholders.
- Third-Party Systems & Compliance: Manage external platforms (e.g., Pontoon, ISNetworld) to ensure vendor compliance, certifications, and other regulatory requirements are met.
- Timesheet Coordination: Compile and distribute timesheets, ensuring accuracy and timely submission to clients when requested.
- Data Analysis: Assist in forecasting budgets, analyzing cost trends, and recommending improvements to existing processes.
- Documentation: Maintain project documentation (plans, budgets, schedules, change orders) in line with organizational standards.
Qualifications
- Education: Bachelor’s degree in Business, Engineering, Project Management, Construction Management, or a related field preferred. Equivalent work experience will be considered.
- Experience: 2–5 years of project coordination or project controls experience, preferably in a similar industry.
- Technical Skills:
- Proficiency with project management software (Zoho Projects, MS Project, or similar).
- Strong Excel skills for budget tracking and reporting.
- Familiarity with compliance systems (ISNetworld) is a plus.
- Analytical Mindset: Comfortable interpreting data, identifying variances, and recommending corrective actions.
- Communication: Excellent verbal and written skills; able to interact effectively with internal teams and external clients.
- Organization: Detail-oriented, able to manage multiple concurrent projects, prioritize tasks, and meet deadlines.
