Reports To

The Housing Services Specialist will report to the Associate Director of Housing Services in Yale Housing.

Overview

The Housing Services Support Specialist position provides high-level administrative support to the Yale Housing department. The position requires strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment, ensuring the smooth operation of student housing services. This position serves as a source of information for current and incoming undergraduate, graduate and professional students and their families, as well as serving as a resource for campus partners about Yale Housing policies and procedures. A key position focus of this role will be to assist in handling responsibilities including hosting an annual webinar for students, managing the communication timeline for housing room draw process, move in and out, and serving as an additional resource for the student staff. This position requires a high level of independent decision making and judgement related to responding to student questions and concerns related to the license agreement and student handbook.

This role will also include answering and triaging phone calls and emails and resolve and respond to questions independently and seek manager input when necessary.

Required Skills and Abilities

  • Participate in the move-in and move-out process. Communicating directly with students. Ensuring accuracy in dates and billing.
  • Maintain and update the yale housing website as needed
  • Assist Associate Director during peak periods, i.e. Housing Intent, Housing Application and Room Selection. Answer student questions, assist with application changes and room changes in housing software, adjust billing as necessary. Send well written and informative emails to residents through housing software.
  • Compose and create department communication, timelines, marketing, and resources for both current and incoming students.
  • Monitor and respond to messages in various Yale Housing email accounts. Compose friendly, informative, accurate and helpful responses.
  • Screen calls and messages for urgency and emergency needs; redirect to appropriate campus partners as needed. Synthesize information and follow-up on issues or questions seeking Manager assistance as needed. 

  • Identify and assess the needs of the student/customer, assisting them with appropriate information, paperwork, forms, etc. Summarize accurately problematic concerns and consult with Manager to implement solutions. Able to direct to other appropriate offices on campus.
  • Reserve room spaces on and off campus, placing food orders, ordering supplies, etc. for department as needed.
  • Performs additional functions as requested by department manager.

Required Skills and Abilities

Four years of related work experience, two of them in the same job family at the next lower level, and high school level education; or two years of related work experience and an Associate’s degree; or an equivalent combination of experience and education.

  • Able to be a self-starter and to handle multiple tasks, demands and deadlines. Must be a team player. Demonstrated willingness to learn new skills and tasks as necessary.
  • Knowledge of Microsoft Office, including intermediate proficiency of Outlook, Word, and Excel.
  • Experience with StarRez or other housing software preferred.
  • Demonstrated strong verbal skills and written communication skills.
  • Demonstrated ability triaging incoming phone calls. Demonstrated strong customer service skills.
  • Excellent organizational skills; ability to respond to complex problems and initiate corrective action.


Preferred Skills and Abilities

  • Driver’s license preferred.

Principal Responsibilities

1. Provides specialized information on administrative, academic, financial aid, and procedural matters to students, prospective students, faculty, and staff. 2. Assists staff, faculty and students with the completion of forms. Identifies and resolves errors through contact with students and University departments. Maintains logs and records of activities. 3. Compiles statistical data and information. Establishes and maintains filing systems. 4. Uses computer terminal to input and retrieve data. Merges and manipulates filing systems. Monitors and reconciles financial data. 5. Keyboards letters, memoranda and other materials. Composes general written material. 6. Schedules and coordinates conferences, meetings, appointments, and classrooms. 7. May oversee and instruct support staff. 8. Performs clerical functions incidental to office activities.
