Job Description:

As an Executive Assistant, you will play a pivotal role in supporting Vice Presidents and Global CIOs, ensuring their goals and objectives are met efficiently. Additionally, you will provide support to other executives as needed, contributing to the smooth and effective operation of the team.

What You'll Be Doing:

  • Calendar management: Maintain and manage the executive's calendar, including scheduling appointments and prioritizing tasks

  • Travel arrangements: Make travel arrangements for executives, including accommodations, transportation, and meals

  • Communication: Screen and receive communications, including phone calls, mail, email, and provide assistance.

  • Meeting organization: Coordinate and organize meetings, including sending reminders, setting up, greeting guests/vendors in lobby, compile notes, and distributes meeting minutes.

  • Administrative support: Provide administrative support, such as writing and editing emails, drafting memos, and preparing communications.

  • Document preparation: Draft letters, power point presentations, invoices approvals, generate reports, and other documents for senior, direct and extended staff

  • Office tasks: Maintain records, order supplies

  • Event planning: Plan events, both internal and off-site.  Responsible for building agendas, participate, take notes, follow up items from event.

What We Are Looking For:

  • 4 years or more years of experience in an administrative role reporting directly to upper management.

  • Excellent written and verbal communication skills.

  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.

  • Intermediate to advance proficiency in Microsoft power point presentations.

  • Proficiency with office productivity tools and an aptitude for learning new software and systems.

  • Flexible team player, willing to adapt to changes and unafraid of challenges.

  • Ability to maintain confidentiality of information related to the company and its employees.

Work Arrangement:

Hybrid: 3 days in office/2days work from home

Annual Hiring Range/Hourly Rate:

$36.00 - $44.00

Actual compensation offer to candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level. The pay ratio between base pay and target incentive (if applicable) will be finalized at offer.
