The Role

GTI is continuing to expand, and we're looking for a highly organized, detail-oriented Construction Project Specialist to support our Consumer Packaged Goods (CPG) construction program. In this role, you will serve as the operational hub between our state teams, Project Managers, and the Manager of Construction, ensuring effective communication, accurate project tracking, and consistent reporting across all active sites. You will own the weekly cadence of state touchbase meetings, maintain construction project data, and ensure information flows efficiently from the field into enterprise-level reporting tools and dashboards.

The ideal candidate brings exceptional organizational and communication skills, a commitment to data accuracy, and the persistence to drive action items through completion. This role plays a critical part in maintaining project visibility, reporting consistency, and operational alignment across the construction organization

Responsibilities

Weekly State Touchbase Coordination

  • Schedule and facilitate a weekly touchbase call for each active state, working through the construction dashboard.
  • Coordinate attendance of the appropriate vertical Project Managers on each state call based on active project mix.
  • Drive the agenda for each call: existing construction projects, new requests, change order requests, and open action items.
  • Capture detailed meeting minutes and action items in real time during each call.
  • Follow up with site maintenance managers and operations contacts between calls to collect missing information.
  • Ensure each state call replaces the need for granular project discussion in the maintenance managers’ call, allowing those calls to remain high-level

Tracker Maintenance & Reporting

  • Update the construction project tracker after each state touch base with current status, percent complete, milestones, blockers, and flags.
  • Maintain data quality and consistency across all active sites so that vertical Project Managers can filter and review their portfolios accurately.
  • Prepare the executive dashboard ahead of the weekly vertical summary meetings.
  • Ensure that state-level meeting outputs roll up cleanly into the three vertical summary meetings run by the Manager of Construction
  • Support the flow of information from vertical summaries into the CPG Global Tracker

Administrative & Process Support

  • Manage the construction team’s meeting calendar, including scheduling, rescheduling, and sending agendas in advance.
  • Track and follow up on action items assigned during state calls and vertical meetings.
  • Flag overdue items and escalate to Project Managers or Manager of Construction as needed.
  • Maintain organized files for project documentation, change orders, and meeting records.
  • Support the onboarding of new vertical PMs by orienting them to the reporting cadence and tracker structure.

Qualifications

Required

  • Three years of experience in project coordination, construction administration, or a similar support role
  • Strong organizational skills with the ability to manage multiple concurrent workstreams across different sites and time zones.
  • Proficiency with project tracking tools (Smartsheet, Excel, or similar platforms) and virtual meeting platforms (Teams, Zoom)
  • Excellent written communication skills, with the ability to produce clear meeting minutes, status reports, and executive-ready updates. Ability to work independently, manage competing priorities, and maintain consistent follow-through with minimal supervision. Comfort working in a fast-paced, multi-site environment with shifting priorities.

Preferred

  • Experience in construction, manufacturing, or facilities management environments
  • Familiarity with stage gate project management frameworks
  • Experience supporting cross-functional teams across multiple disciplines and stakeholders. Background in cannabis, CPG, or regulated industries strongly preferred.
