POSITION PURPOSE: 

The Hospital Registration Supervisor is responsible for the coordination and supervision of Hospital Registration and Switchboard team members.  This position requires a detailed knowledge base in registration, emergency department, hospital access, insurance authorization and benefit determinations and billing practices, as well as an understanding of how these areas impact the flow of work throughout various departments and the organization.

Essential Functions:

  • Communicates organizational mission, vision, values and objectives to staff. Provides constructive feedback to staff as well as receives constructive feedback from leadership and colleagues in a professional manner.
  • Monitor day-to-day functions in the patient access departments.
  • Collaborates with manager to set, monitor, and respond to staff performance standards.  Monitors key performance indicators related to patient experience and specific job functions to ensure the team is meeting established service levels.  Provide direction to staff not meeting service level and uses progressive disciplinary action as needed. 
  • Establishes work schedules and approves/denies time off requests. 
  • Review and process timecards in an accurate and timely manner. Maintain accurate employee attendance files.
  • Interviews and hires applicants to maintain adequate staffing levels.
  • Supervises overall training of staff.  Coordinates orientation of new employees and completion of orientation checklists.  Evaluates new employees at the end of introductory period and provides recommendations to manager on continued employment.
  • Prepares and communicates annual performance evaluations and competencies. 
  • Conducts departmental meetings, determines agenda and delegates recording of meeting minutes.
  • The ability to perform the duties of the staff supervised is required. Working as a team member as needed, to ensure staffing of all services. 
  • Performs leader rounding with employees, making connections and learning
  • Work collaboratively with counterparts, Patient Accounts, and other departments on issues relating to patient registration, scheduling, patient flow, insurance verification, referrals, and reimbursement issues.

Specialized Know-How and Requirements

  • Associates degree or two-year degree in a medical field required. 
  • Minimum 3 years’ experience in patient access or billing related field in a hospital or clinic setting required.
  • HFMA, AAHAM (CCAM/CPAM) and/or NAHAM (CHAA/CHAM) certification or obtains within two years of hire.
  • Leadership and staff management abilities preferred. 
  • Excellent interpersonal abilities, as well as written and verbal communication skills and problem-solving abilities. 
  • Strong computer skills, ability to supervise staff who use multiple software products in their daily work.
