Job Description:

The Executive Administrative Assistant is responsible for carrying out administrative functions in order to support the President and CEO in addition to other Executives. This individual directly assists with the administration and the day-to-day operations of both the President and CEO, in addition to completing any ad hoc project needs and Executive planning. 

Responsibilities:

•    Works on tasks including, but not limited to, scheduling internal and external meetings and appointments, screening phone calls and emails and handling general administrative tasks.
•    Manages and maintains the calendars of two executives, which includes scheduling meetings, arranging travel details and forwarding pertinent messages and emails.
•    Creates agendas and organizes all of the necessary documents for meetings.
•    Coordinates and arranges team events.
•    Provides assist to other executives to ensure that they have the necessary support.
•    Completes executive expense reports as well as ordering office supplies for the team.
•    Processes invoices in a timely manner and follows up on Purchase Orders in OnBase, as well as JDE items.
•    Handles details of a confidential nature and performs administrative functions based on the understanding of company policy.
•    Communicates interdepartmentally through crucial conversations with individuals ranging from assistants to executives.
•    Acts as point of contact for executives and employees, as well as external clients.
•    Conducts research, compiles data, and prepares papers for consideration and presentation by executives, committees, and board of directors.

Qualifications:

  • 5 + years of relevant experience in an administrative or support function at the executive level
  • Strong communication skills, verbal and written, are required
  • Intermediate skills in Microsoft PowerPoint, Excel, and Word
  • Working knowledge of Microsoft Outlook, including scheduling functions
  • Ability to maintain confidentiality
