The role
The front desk administrator will focus on supporting the São Paulo office, ensuring efficient and consistent internal facilities process and delivering operational excellence to support our local team.
Key Responsibilities
RECEPTION
• Greeting, escorting vendors/visitors
• Local and Overseas courier services
• Maintain contractor/visitor log
• Receive packages & manages shipping related services
• Badging process - guest, vendor, and new hire badges
ENVIRONMENTAL HEALTH & SAFETY
• Coordinates e-waste disposal (working with IT dept)
• Identifies risks / exposures to workplace hazards and provides solution to remedy
• Support sustainability programs
• Tracking Sustainability Components e.g., energy, water etc.
FACILITY & WORKPLACE SERVICES
• Restock kitchen/office supplies daily and as needed
• Ensures snack program is of high quality and up to standards
• Facilitate facilities activities of new hire (e.g., apply new pass, prepare workstation, etc.)
• Facilitate facilities activities for leavers (e.g., retrieve back building pass, employee badge, workstation clearance, etc.)
• Assist in facilitating of employee workstation changes
• Coordinates furniture reconfiguration requests with customer and furniture vendor
• Check & submit for invoice payments approvals - facilities vendors
• Tracking/update of all facilities assets
BUILDING MAINTENANCE
• Receive and facilitate work orders from local office (e.g., lights need to be changed, fixtures need to be repair, etc.)
• Liaison and coordination with facilities vendors on building repairs/maintenance issues
• Liaison with building management for building related issues
• Manage MFDs/printer supplies and services
• Assist facilities manager in quarterly or annual maintenance activities e.g., carpet cleaning or pest control
FINANCE ACTIVITIES
• Coordinate and work closely with accounts receivable on the payments received
• Weekly submission of Invoices & Expenses for process / payment
