Job Description
Job Title: Move In Coordinator
Primary Responsibilities: The Move in Coordinator is primarily responsible for processing all applications for Maymont homes. Applications are processed in the order received, adhere to the Applicant Screening Criteria, and decisions are made in compliance with Fair Housing guidelines.
Skills & Competencies:
- Bachelor’s degree or equivalent work experience required.
- Experience in banking, real estate, property management, or related fields
- Knowledge of fair housing and local real estate laws, where applicable.
- Intermediate knowledge of Word, Excel, and PowerPoint; advanced preferred
- Working knowledge of applicable CRM, MRI, and other software systems
- Demonstrated strong written and verbal communication skills
- Demonstrated customer service skills in a fast-paced environment
- Detail-oriented, with the ability to produce high-quality work in a deadline-oriented environment and an ability to multi-task
- Ability to prove advanced critical thinking and problem-solving concepts
- Ability to think critically and creatively
- Ability to thrive in a high volume, data entry, and processing work environment, where applicable
- Experience working in a work schedule environment, including in-office operations, weekends, and holidays, based on business needs.
Essential Job Functions:
- Daily outbound and inbound follow-up with applicants for missing documents, as well as notification for approval or denials
- Provide accurate and complete documentation for approval. Upload documents into all required databases
- Check Maymont Homes work email daily and attend scheduled meetings as assigned
- Calculate accurate gross annual income via income documents provided and document in the database
- Work closely with internal and external leasing teams to provide a superior customer service experience
- Follow the terms of Fair Housing, the Fair Credit Reporting Act, the American Disabilities Act, and any other pertinent law
- Coordinate timely completion of applications, including collecting and reviewing required documentation and communicating the application decision to the leasing agent within 24 hours
- Work closely with internal and external leasing teams and applicants during the entire process providing exceptional customer service
- Minimize data entry errors to ensure the process is completed promptly
- Escalate all questionable or potentially fraudulent applications to management or current supervisor
- Update files in real-time and communicate with internal business partners' status with detailed notes in CRM
- Other duties, as assigned by supervisor or leadership team.
Key Metrics (KPIs)
- Address all applications across all markets within 24 hours
- Applicants are emailed and sent SMS messages with status updates when additional documentation is required
- All notes are updated in real-time
- All documents are uploaded to the lead management system
- Meaningful feedback and collaboration with local teams and centralized leaders
- Achieve 90% or better on weekly screening audits
- Achieve a 3% or less procedural error rate
- Consistent achievement of monthly goals
Physical Requirements
- Capable of working extended hours, including evenings, weekends, and holidays as necessary.
- Must be able to speak English in a clear and understandable voice so that various types of communications may be conducted with people of various levels of education and capabilities, including the exchange and receipt of information over the telephone.
- Able to see well enough to read faint or partially obscured writing or printing, with corrective lenses if needed.
- Position may involve sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying and moving objects that can weigh up to 25 lbs. This movement can occur throughout the day. Must also be able to climb several flights of stairs if necessary.
- Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills.
- Must have finger dexterity for typing/using a keyboard.
Environmental Requirements
- Must be able to work on more than one assignment at a time with frequent interruptions, changes, and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances. For safety reasons, employee must remain alert to working conditions and aware of safety, health, and environmental concerns.
- Must be able to work effectively and cheerfully in an environment that may be stressful due to adversarial situations resulting from the proper performance of duties.
- Must be able to work in the office as regularly scheduled
