JOB PURPOSE

The LTL Invoice Auditor will be responsible for ensuring the accuracy and completeness of LTL carrier invoices, identifying discrepancies, and working with vendors to resolve billing issues. The ideal candidate will possess strong analytical skills, a thorough understanding of LTL shipping processes, and a commitment to maintaining high standards of financial integrity.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Invoice Review and Verification:

  • Review and audit LTL carrier invoices to ensure accuracy and compliance with contract terms.
  • Verify freight charges, accessorial fees, and other billed amounts against shipping records and contracts.
  • Identify and investigate discrepancies between invoiced and billed amounts.

Discrepancy Resolution:

  • Work with carriers and internal departments to resolve invoice discrepancies and billing issues.
  • Document and track all discrepancies and resolution actions.

Data Entry and Reconciliation:

  • Enter invoice data into accounting systems accurately and in a timely manner.
  • Reconcile discrepancies between internal records and carrier invoices.
  • Prepare and maintain detailed records of audit activities and findings.

Reporting and Analysis:

  • Generate regular reports on audit findings, discrepancies, and resolution status.
  • Analyze trends in billing discrepancies to identify potential areas for process improvement.
  • Assist in the development and implementation of auditing procedures and best practices.

Collaboration and Communication:

  • Collaborate with the Accounts Payable team to ensure seamless processing of invoices and payments.
  • Communicate effectively with carriers, vendors, and internal stakeholders to address and resolve invoice-related issues.

Compliance and Documentation:

  • Ensure all audit activities comply with company policies and regulatory requirements.
  • Maintain accurate and organized documentation of all audit processes and outcomes.

JOB REQUIREMENTS

  • Associate’s degree required; degree in Accounting, Finance, Business Administration, or related field preferred.
  • Minimum of 1-3 years of experience in invoice auditing, accounts payable, or a similar role.
  • Experience with LTL shipping and freight auditing is highly desirable.
  • Proficiency in billing and accounting software, such as QuickBooks, SAP, or similar systems.

  • Strong attention to detail and numerical accuracy, with the ability to analyze complex data and reconcile discrepancies.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with clients, carriers, and internal stakeholders.
  • Customer service-oriented mindset with a focus on building and maintaining positive relationships.
  • Ability to prioritize tasks, meet deadlines, and work effectively in a fast-paced, deadline-driven environment.
  • Strong problem-solving skills and ability to resolve issues independently or collaboratively.
  • Knowledge of transportation and logistics operations and terminology is a plus.

WORK ENVIRONMENT

Maintain a stationary position for extended periods; move about the office, operate computers and files, as needed; and frequently communicate with others. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee is required to stand, walk, and reach with hands and arms. Occasionally, the employee is required to lift boxes up to 20 pounds. 

SCHEDULING

This is a full-time benefits-eligible position, working Monday through Friday; 8:00 a.m. – 5:00 p.m ET. An employee in this position must be available to work occasionally in the evenings, during peak periods.
