The Billing/Export Documentation Clerk is responsible for all aspects of billing including verification that there are no variances on loads, scaling carriers in/out, inputting data to produce standard bill of ladings, & communicating with carriers & shipping personnel. This position is also responsible for inputting data and printing necessary export documents for international shipments including USDA certificates, letterheads, and export stickers.

Core Responsibilities

  • Creates standard bill of ladings & export documentation.

  • Confirms the release of all sales orders and all documents are received after loading daily.

  • Publishes and maintains monthly, weekly and daily reports. Validates freight accruals are accurate on all shipments.

  • Publishes and maintains the daily truck log & holdover report.

  • Responsible for helping to reduce billing errors and the costs associated with them.

  • Enters data into computer system, generates invoices and freight payable documents.

  • Publishes and maintains monthly, weekly and daily reports. Validates freight accruals are accurate on all shipments.

  • Inputs product shipment data into system.

  • Prepares bills of lading and exports documents.

  • Files documents throughout shift.

  • Scales carriers in/out.

  • Verifies there are no variances on load weights.

  • Answers phone calls from carriers and/or transportation.

  • Directs carriers to dock doors, parking locations, receiving, & rendering.

  • Minor housekeeping in the shipping office.


Qualifications

  • High school diploma or general education degree (GED); required.

  • 2 years’ previous billing experience, a plus.

  • Knowledge of Microsoft Office Excel and Word software.

  • Knowledge and experience with 10-key adding machine.

  • SAP experience, preferred.

  • Ability to effectively present information in one-on-one and small group situations.

  • Strong attention to detail.

  • Ability to work well with others in fast paced, dynamic environment.

  • Ability to be respectful, approachable and team oriented while building strong working relationships and a positive work environment.


Work Environment & Physical Demands

  • The majority of the time is spent in an office setting outside of the production plant. The plant environment will include wet or humid conditions (non-weather related), extreme cold and heat (non-weather related), working near moving mechanical parts, exposure to fumes or airborne particles, and chemicals.

  • Noise level in the work environment is usually moderate but can be loud when in the production area.

  • Occasionally lift and/or move up to 25 pounds.

  • Specific vision includes close vision and ability to adjust focus.

  • Frequently required to sit, use hands to handle, or feel, and talk or hear.
