Summary of Job Duties:

The Education Coordinator within the College of Health Professions reports directly to the Associate Dean for Student Affairs and assumes responsibility for various duties aimed at supporting the efficient functioning of 15 academic programs. These responsibilities include: admissions processing and student advising, and verification of the academic catalog.
The College of Health Professions (CHP) serves the state of Arkansas as the primary arm of the University of Arkansas in offering programs that provide education, service, and research in the allied health professions. The CHP mission is achieved through the varied offerings of its departments. The College, the only one of its kind at an academic health science center in Arkansas, has as its main role the education of allied health professionals to serve in the health care delivery system in the state. The specific educational programs currently offered within the College of Health Professions are provided by ten academic departments. They include: Audiology and Speech Pathology; Dental Hygiene; Dietetics and Nutrition; Genetic Counseling; Imaging and Radiation Sciences (Diagnostic Medical Sonography, Nuclear Medicine Imaging Sciences, Radiologic Imaging Sciences); Laboratory Sciences (Cytotechnology, Medical Laboratory Sciences); Occupational Therapy; Physical Therapy; Physician Assistant Studies; and Respiratory Care.

Qualifications:

Minimum Qualifications

  • Bachelor's Degree in communications, business administration, student affairs, student services, or other related field plus plus 3 years' experience coordinating education programs required OR High School Diploma/GED Plus seven (7) years experience coordinating education programs required.

Responsibilities:

Admission Processing/Advising/Testing:  

Phone, in-person, and email academic advising of students interested in allied health professional programs.  Workday Student application management (including, but not limited to importing and exporting data, updating applicant statuses, updating applicant checklists, adding pre-enrollment holds, maintaining applicant files, entering transfer credit, calculating GPAs, verifying degrees when applicable, assisting students with the application process, fixing application errors, communicating/coordinating with UAMS Academic Computing and the Office of the University Registrar on new student processes and equating transfer credit, review and processing of admission letters). Active participation in Student Affairs Academic Admissions Committees. Advising the programs’ faculty on what courses can and cannot meet prerequisite requirements. Working with and coordinating with the programs’ faculty to ensure eligibility requirements compliance. Data conversion testing Workday Student software bundle updates as assigned by Academic Computing. Teaching new faculty/staff members how to use Workday Student to complete their required tasks. Assist/provide backup, as directed by the Associate Dean for Student Affairs, to the Executive Assistant with admissions tasks such as uploading transcripts and other documents that are received, accurately recording those details on the Education screen, updating statuses, checklist, etc.  

New Student Compliance:

  • Assists the Associate Dean for Student Affairs in monitoring compliance requirements for all newly admitted students into the college, which is about 600+ each fall, 200+ each spring, and around 50+ each summer.
  • Responsibilities include, but are not limited to adding students to Blackboard, emailing compliance instructions to new students, frequently checking Blackboard and Workday Extended Enterprise Learning daily (leading up to the start of each semester) to check on the successful completion of assigned Compliance trainings, removing compliance holds from student GUS accounts once they have completed all Compliance training requirements, backing up previous Blackboard courses on the G:\ drive before adding in each new cohort each year, assisting students with compliance processes by phone, email, and in-person.  

Scholarships:

Assist the Scholarship Committee Chair with various responsibilities throughout the scholarship application opening and closing processes.

Responsibilities include, but are not limited to Sending notifications to references/recommenders as requested by students or by the references themselves, Compiling and cleaning up all application and recommendation data once the application process closes, Matching up recommendations to applications and filtering out in complete applications, Generate PDFs and physical binders of all completed applications and matched recommendations for the Scholarship Committee to use in their evaluations, Setting up Excel files for the Scholarship Committee to use as evaluation tools when deciding on scholarship awards, Generating and sending out letters to scholarship applicants. This includes students who were awarded scholarships and students who were not,  Generating mailing labels for invitations to the Scholarship Reception, including to the scholarship awardees and also the scholarship donors, Assisting with set-up, during, and clean-up responsibilities at the Scholarship Reception, which is after normal business hours.  

Other duties as assigned.
