Job Description
Join ACCIONA and be part of a team delivering one of New Zealand's most significant transport infrastructure projects. The Northland Corridor Warkworth to Te Hana - Ara Tūhono project will enhance connectivity, improve safety and support regional growth, leaving a lasting legacy for future generations.
The Opportunity
This is an exciting opportunity to join a dynamic organisation delivering a major infrastructure project. As Executive Assistant & Governance Coordinator, you will work closely with the Chief Executive Officer, Board and Leadership Team, providing high-level executive support while helping to drive strong governance, effective administration and seamless organisational operations.
Acting as a central coordination point across the organisation, you will play a key role in ensuring governance processes run efficiently, stakeholder relationships are managed professionally, and leadership team activities are well supported.
From coordinating Board and leadership meetings to maintaining governance records, overseeing office administration and supporting key business initiatives, you will contribute to the smooth and effective operation of the organisation.
Key responsibilities:
Provide proactive executive support to the Chief Executive Officer and broader administrative support to the Leadership Team.
Coordinate Board, committee and leadership governance activities, including meeting scheduling, agenda preparation, minute-taking, reporting and action tracking.
Maintain governance records, registers and corporate documentation, ensuring accuracy, accessibility and compliance with organisational requirements.
Serve as custodian of the organisation’s governance document library and SharePoint environment, ensuring records are effectively managed, controlled and maintained.
Oversee office administration, workplace facilities and business support services to support a professional and efficient working environment.
Coordinate onboarding and mobilisation activities for employees, contractors, consultants and visitors, ensuring a seamless and positive experience.
Support stakeholder engagement initiatives, workshops, project events and internal communications activities.
Required Skills and Competencies
Relevant experience in executive support, governance coordination, office administration or a related business support function.
Strong proficiency across Microsoft Office 365 applications, including Outlook, Word, Excel, PowerPoint and Teams.
Experience using SharePoint or similar document and records management systems, with the ability to maintain accurate and well-controlled information repositories.
Excellent organisational, communication and stakeholder management skills, with the ability to manage competing priorities, maintain confidentiality and deliver high-quality support in a fast-paced environment
