Job Summary

The Project Coordinator will support engineers and engineering teams by providing comprehensive administrative and operational assistance throughout the project lifecycle. This role involves coordinating project activities, tracking schedules and deliverables, and ensuring effective communication among cross-functional stakeholders. The Project Coordinator will help prepare project documentation, monitor progress against timelines and budgets, and assist in resolving project-related issues. Additionally, the role includes organizing meetings, maintaining accurate records, and supporting quality and compliance requirements. The ideal candidate will contribute to efficient project execution by ensuring that all tasks, resources, and information are well-aligned and managed in a timely manner.

This role will be reporting onsite from Monday to Friday.

Responsibilities

Design Representation and Oversight

  • Represent the ESDC in day-to-day coordination with the CSC and PMC.
  • Provide regular updates, briefings, and recommendations to the PM.

Coordination and Communication Management

  • Participate in coordination meetings (weekly, monthly, and special sessions).
  • Ensure consistent, transparent, and timely exchange of information among all parties.
  • Prepare and distribute meeting minutes, action items, and follow-ups

Document Control and Information Flow

  • Oversee the proper flow of documents between project teams.
  • Track submissions, approvals, and responses (e.g., reports, drawings, RFIs, variation requests).
  • Ensure that all documentation is complete, accurate, and submitted on schedule.
  • Maintain organized records and document tracking systems.

Schedule and Progress Monitoring

  • Review and consolidate project progress reports.
  • Monitor adherence to project timelines, milestones, and deliverables.
  • Identify delays, inconsistencies, or risks in reported progress.

Issue Resolution and Risk Management

  • Identify gaps, interface issues, and coordination challenges
  • Maintain an issue log and track resolution of all action items.
  • Escalate critical issues with recommended solutions.
  • Monitor project risks and ensure mitigation measures are implemented.

Alignment and Decision Support

  • Ensure alignment between CSC and PMC on Design matters.
  • Facilitate resolution of disagreements or interpretation differences.
  • Ensure that all decisions are documented and communicated effectively.

Commercial and Change Coordination Support

  • Track variation orders, claims, and change requests
  • Support the PM in monitoring budget utilization.

Reporting and Dashboard Preparation

  • Develop dashboards summarizing key metrics: progress and issues.
  • Highlight critical items requiring management attention.

Administrative and Coordination Support

  • Manage scheduling of meetings and key project activities.
  • Maintain updated contact lists, distribution lists, and communication protocols.
  • Support preparation of presentations and coordination materials.

Qualifications

  • Bachelor’s degree in Civil Engineering with at least 5+ years of relevant experience.
  • Registered Professional Engineer in the Philippines or a member of recognized international engineering-chartered organizations.
  • Knowledgeable in civil engineering principles, construction methodologies, applicable industry standards, and Philippine design codes.
  • Experienced in project management, including planning, scheduling, budgeting, stakeholder coordination, and client relationship management.
  • Strong communicator with the ability to effectively engage and coordinate with clients, contractors, consultants, and other project stakeholders.
  • Collaborative and relationship-oriented, with experience working in multidisciplinary project teams.
  • Highly organized and detail-oriented, with the ability to manage multiple priorities and meet project deadlines.
  • Proficient in project reporting, documentation, and document control systems.
  • Effective in identifying, coordinating, and resolving project-related issues.
  • Client-focused, with a practical approach to problem-solving and service delivery.
  • Dependable, professional, and committed to maintaining high ethical standards.
  • Willing to travel as required for project and site-related activities.
