What You Will Do:

The Senior Administrative Assistant will provide direct support to the Vice President of People & Organizational Development and their Leadership team as well as the VP, HR Strategy and Partnership and VP, Diversity, Equity & Inclusion. In this role, you will be responsible for supporting the everyday needs and functions of the department, such as travel arrangements, drafting reports, and maintaining the Vice President’s calendar and schedule. Additional responsibilities may require you to:

  • Manage travel arrangements including preparing detailed itineraries for each trip; periodically check messages and monitor travel arrangements.
  • Draft confidential reports, correspondence and agendas; use initiative to answer routine inquiries.
  • Prepare materials in final form from very rough or involved drafts, which may utilize frequent use of statistical data, including charts and graphs; combine material from several sources as necessary; prepare and produce materials and presentations for executive meetings.
  • Maintain updated departmental organizational charts; update spreadsheets and databases and maintains department files, including those of a confidential nature.
  • Interact with customers and employees via phone or in person; review, prioritize and respond to incoming mail, voicemail, email, and confidential documents.
  • Schedule outgoing business phone calls, conference calls and WebEx meetings globally.
  • Maintain Executive(s) schedule and calendar; schedule business meetings both inside and outside of the office via an electronic calendar.
  • Communicate with Executive staff and all levels of personnel inside and outside the company to gather and convey information pertaining to executive’s office and responsibilities.
  • Review and prioritize activities, take action and escalates critical matters.

What You Need:

Required:

  • High School Diploma or Equivalent
  • 3+ year’s experience supporting Senior Leadership in a similar capacity
  • Experience with Microsoft Office programs

Preferred:

  • Associate or bachelor’s Degree

Travel Percentage: 10%
