The Fair Operations Assistant (FOA) is a part-time, temporary Cooperative Extension support position responsible for ensuring the logistical and operational readiness of Merrimack County 4-H programs, with a primary focus on the Hopkinton State Fair.

This position provides critical operational continuity during a period of reduced professional staffing and supports the safe, effective delivery of volunteer-led educational programming. The FOA works in close coordination with the 4-H Program Manager or State 4-H Program Leader, county administrative staff, and volunteer leadership to prepare materials, manage physical resources, support event logistics, and assist with on-site execution of Fair activities.

The position is based at the UNH Cooperative Extension Merrimack County office in Boscawen, NH. Occasional evening and weekend work is required, particularly during Fair preparation and Fair week.

Duties / Responsibilities

Fair Logistics, Materials, and Event Preparation (45%)

  • Prepare, print, and assemble Fair materials including exhibit cards, registration forms, score sheets, signage, and volunteer and judge packets.

  • Maintain inventory of supplies, signage, labels, envelopes, and printed materials.

  • Organize and replenish Key Leader boxes for the Exhibit Hall and Ice Cream Parlor.

  • Prepare Fair toolkits, binders, emergency materials, and schedules.

  • Support Fair Clean-Up Day logistics in coordination with volunteers and fairgrounds staff.

Volunteer, Judge, and Mailing Support (25%)

  • Assemble mailings for animal exhibitors, judges, volunteers, Key Leaders, and superintendents.

  • Prepare name tags, thank-you packets, judge envelopes, and ticket distribution materials.

  • Assist with large mail batch assembly and distribution.

On-Site Fair Operations and Post-Fair Wrap-Up (25%)

  • Provide on-site operational support during Exhibit Hall drop-off, Judging Day, and Fair operations.

  • Set up materials stations, signage, volunteer tables, and restock supplies during Fair week.

  • Assist with Fair cleanup, inventory updates, and storage organization.

Professional Development (5%)

  • Develop and implement a professional development plan to maintain and enhance competence in office operations, organization, and software use, as supported by the supervisor.

Minimum Qualifications

  • High school diploma or equivalent.

  • At least one (1) year of experience in administrative support, event coordination, or operational support.

  • Valid New Hampshire driver’s license.

Rquired Knowledge, Skills, and Abilities

  • Strong organizational and time-management skills.

  • Ability to manage printing equipment, materials, and event supplies.

  • Ability to work in a fast-paced, seasonal environment with fluctuating workload demands.

  • Availability to work occasional nights and weekends.

  • Willingness to travel for work; mileage reimbursed at the current federal rate.

  • Ability to lift and carry materials weighing up to approximately 25 pounds.

Preferred Qualifications

  • Experience with 4-H, Cooperative Extension, fairs, or volunteer-based youth or community programs.

Compensation Pay Range:

$18 hourly
