The Administrative Program Coordinator is responsible for providing comprehensive administrative support to ensure the efficient operation of the Research Center. This role involves coordinating program activities, managing schedules, handling communications, and supporting staff. The coordinator plays a key role in ensuring that goals are met by facilitating effective communication, organizing resources, and maintaining documentation.

The ideal candidate will have:

  • Experience in assisting with budget preparation, monitoring expenses, and processing financial transactions related to Research Center activities.
  • Multitasking and Time Management: Demonstrated ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Problem-Solving: Experience in identifying and resolving issues that may arise
  • Team Collaboration: Experience working collaboratively with cross-functional teams to achieve program goals.

As an Administrative Program Coordinator II you will: 

  • Coordinate logistics for meetings, events, and workshops.
  • Maintain schedules, calendars, and timelines.
  • Handle travel arrangements, reimbursements, and other logistical needs for staff.
  • Manage inventory and order supplies as needed.
  • Prepare and maintain documentation, including reports, presentations, and records.
  • Assist in the preparation of reports and presentations based on program data.
  • Assist in the preparation and monitoring of program budgets.
  • Process invoices, track expenses, and manage program-related financial records.
  • Ensure the confidentiality and security of sensitive program information.
  • Assist in the preparation and monitoring of program budgets.

Responsibilities: 

  • Functions as liaison and as administrative, technical or operational resource.
  • Assists Director with projects and daily tasks.
  •  Leads orientation and records management activities and ensures standards are maintained.
  • Develops and updates interdepartmental education programs.
  • Assists with scheduling, coordination, preparation and communication of meetings.
  • Facilitates and attends meetings; records key outcomes.
  • Identifies key milestones and deadlines and proactively communicates project status and requirements to achieve results.
  • Researches, analyzes and organizes information for presentations.
  • Assists with large or complex projects and initiates or leads less complex projects.
  • Other duties as assigned.

Education:

  • Associate's degree required.
  • Bachelor's degree in Business Administration, Healthcare Administration or related field preferred.
  • High School diploma/GED and five years of experience can substitute work experience.
  • Bachelor’s degree and one year of experience can substitute work experience. 

Certifications:

  • May require license based on department/Institute need.

Complexity of Work:

  • Requires multi-tasking, critical thinking skills, decisive judgment and the ability to work with minimal supervision in highly interactive team environment.
  • Must be able to take appropriate action in a stressful environment.

Work Experience:

  • Three years administrative or project management experience required.
  • Healthcare experience or related organization preferred. 

Physical Requirements:

  • Ability to perform work in a stationary position for extended periods
  • Ability to operate a computer and other office equipment.
  • Ability to travel throughout the hospital system.
  • Ability to communicate and exchange accurate information.

Personal Protective Equipment:

  • Follows Standard Precautions using personal protective equipment as required.
